We are seeking a highly organized, detail-oriented, and compassionate Administrative Assistant to provide essential administrative and clerical support to our leadership team and a staff of 25+ dedicated professionals. This role is crucial to the smooth operation of our organization, requiring a proactive, flexible, and community-minded individual with excellent communication and multitasking skills.
Key Responsibilities
Executive Support
-Provide administrative support to the Executive Director and senior leadership team.
-Schedule meetings, manage calendars, and prepare meeting agendas and minutes.
-Handle confidential correspondence and documentation with discretion.
Office Administration
-Serve as the first point of contact via phone, email, and in-person inquiries.
-Maintain general office operations, including filing, scanning, faxing, and data entry.
-Monitor and order office supplies to ensure adequate stock levels.
-Coordinate mail distribution and manage incoming/outgoing deliveries.
Communication and Outreach
-Manage general email inboxes and respond to inquiries in a timely and professional manner.
-Assist with coordinating internal and external communications.
-Support social media activity across platforms (Facebook, Instagram, etc.) including posting updates, events, and community engagement.
Financial and Bookkeeping Support
-Perform light bookkeeping duties such as processing invoices, tracking expenses, etc.
Team Support
-Provide administrative support to program managers and front-line staff.
-Assist with staff communications, scheduling, and coordination of staff events.
-Support onboarding of new staff with orientation materials and document setup.
Qualifications
-Post-secondary education in office administration, business, or a related field (or equivalent experience).
-Minimum 2 years of experience in an administrative support role, preferably in a non-profit or community service setting.
-Strong organizational skills and the ability to manage multiple priorities.
-Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with basic bookkeeping practices.
-Experience managing social media accounts for an organization or business.
-Excellent interpersonal and communication skills.
-Proficiency in both English and French is considered an asset.
-Demonstrated discretion and confidentiality when handling sensitive information.
-A compassionate and non-judgmental approach to working with vulnerable populations.
-A satisfactory criminal record check with vulnerable sector check, in addition to a Social Development background check, is a requirement of the position.
Working Conditions
-Full-time position based at 37.5 hours per week, Monday to Friday (occasional nights or weekends may be required).
-Primarily office-based with occasional off-site errands or event support.
-Must be comfortable working in a dynamic environment supporting individuals facing complex life challenges.
