🔔 IMPORTANT UPDATE 🔔
We hope this message finds you well.
We have an exciting upcoming change at Heralds Way Dental Clinic. We will soon be transitioning to a new patient management system called CareStack, designed to improve your overall experience with us 🙂
Our data migration will take place over the upcoming bank holiday weekend. During this time, we will have no access to our systems, and our online booking portal will be offine. We appreciate your understanding in advance, should there be any delays in communication.
🚦Our official go-live date is 7th April 2026.
As part of this transition, there will be some changes to how we manage patient workflows:
📋 Patient Forms:
We will have reduced access to in-clinic iPads for completing forms. Instead, you will be able to complete your forms from home via our new patient portal. If you are unable to do so in advance, you will be asked to scan a QR code using your mobile device upon arrival at the clinic.
💻 Patient Portal Access:
The new portal will allow you to conveniently manage your forms, access your accounts, view treatment plans, sign consents, and book appointments online.
🏥 Medical History Update:
All patients will be required to complete a new medical history form, even if you have recently submitted one. This is a system requirement, so please be prepared to provide updated medical information and current medications.
📆 Appointment Communications:
As part of our commitment to sustainability and reducing paper waste, we will no longer provide printed appointment cards. All appointment confirmations and reminders will instead be sent automatically via email.
You may find it helpful to bring your diary or calendar with you, so you can record your next appointment dates straight away.
While we are very excited about these improvements, we kindly ask for your patience and understanding during the first few weeks following the transition.
Our team will be adjusting to the new system, and there may be slight delays in our usual workflow. We recommend allowing a few extra minutes when checking in and out of your appointments.
We truly believe this change will bring long-term benefits and enhance the quality of service we provide to you. While change can sometimes feel daunting, it is often a necessary step toward improvement.
