Don't worry if you realize you spend most of your time confusing urgent activities for important activities. You can use the Time management Matrix tool to help you prioritize tasks and manage your time well.
Quadrant 1: These are important and urgent activities such as medical emergencies, a crisis like lack of water, or a deadline to submit an application form. Spending too much time here leads to stress, anxiety, and fatigue. To spend less time in this box we must spend more time on the important activities before they become urgent
Quadrant 2: These are important but not urgent activities such as, planning, creating, learning, relationship building, etc. If you spend quality time in this box, it will help you keep time, become self-aware, have a clear vision, and reduce crises. This is the optimal box.
Quadrant 3: These are activities that are not important but urgent such as responding to WhatsApp messages, interruptions, and a lot of emails. Spending too much time in this box leads to reduced focus, continuous crisis management, disorganization, and conflicts in relationships.
Quadrant 4: These are activities that are not important and not urgent. These are the complete time-wasters! Spending too much in this box will lead to low self-esteem, unemployment, economic dependence, depression, and lack of progress. Some of these activities include random calls, social media, and TV.
