We are looking for an organized, efficient Administrative Assistant/Front Desk Assistant with an eye for detail and high level of accuracy. This position can expect to handle communications with vendors, clients, and internal departments, assist with client database, and record maintenance, assist in downloading financial reports, and generally ensure that the office operations are running smoothly. You should be professional and courteous with strong computer skills and a thorough understanding of accounting and financial principles.
To succeed as an Administrative Assistant/Front Desk Assistant, you should be a skilled multi-tasker with excellent time management, computer, and communication skills. Candidates should understand and abide by all accounting procedures and principles and have a commitment to behaving ethically in the workplace. (You will be training on the LIGHT duties necessary. However, it’s to understand accuracy is necessary.)
Administrative Assistant/Front Desk Responsibilities:
Performing basic office tasks, including answering phones, responding to emails, processing mail, filing, etc. (Phone etiquette). You must be able to use a computer. Everything in our office is cloud-based.
Familiar with various software, Your must require the skills that you can learn how to utilize it Microsoft Office Suite – Mandatory
Constant Contact – Can be trained.
Send out Cards – Can be trained!
Karbon – Can be trained.
Excellent customer service skills.
Maintaining a database, ensuring that records are complete and current.
Recording information, processing, and filing forms, as instructed.
· Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and handle vendor contracts, among other tasks.
Abiding by all company procedures and accounting principles.
Responding appropriately to vendor, client, and internal requests.
Administrative Assistant/Front Desk Responsibilities Requirements:
High School Diploma/Equivalent is required.
· 2-3 years of experience as an office clerk, administrative assistant, secretary, or similar role.
Ethical behavior when dealing with sensitive financial information.
· Ability to adjust to new tasks if company or office needs change.
High level of accuracy and efficiency.
Exceptional verbal and written communication skills.
Courteous, professional manner, strong customer service skills.
Computer literacy and strong typing skills, experience with accounting software may be required.
Knowledgeable with Mac products.
Attention to detail.
