This is a 10-month position on W2
Title: Administrative Specialist
The Administrative Specialist performs a wide variety of administrative tasks, including but not limited to answering phones, greeting/referring/assisting callers, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, and providing general office support to various departments to include accounting, marketing and events as assigned.
Essential Responsibilities:
• Management of the organization’s phone system and distribution of incoming messages to staff members
• Establish and maintain office files and activity logs
• Outreach calls
• Perform routine data entry
• Coordinate meetings between facilities and LBHS staff
• Respond or redirect emails to appropriate person
• Providing administrative support to staff members as requested
• Attend meetings; record, transcribe, and distribute meeting minutes
• Assist in arranging onsite meetings and visits
• Assist with the production of marketing materials
• Assist with maintaining web pages and social media sites
• Manage and update the photo and video library
• Performing other duties as assigned
Position Qualifications:
• Successful candidates should have excellent communication, organization, teamwork, customer service, , time management, and multitasking skills
• Minimum 2+ years in an office setting
• Experience with Microsoft applications is required.
Constant Contact, and Social Media applications such as Facebook, Instagram, and Twitter is a bonus
• Familiarity with office equipment, such as copy machines and phone systems is required
• Independently motivated, with the ability to take on tasks and duties without immediate direction
• Strong communication skills
