Looking to speed up admin tasks? Fed up of typing the same phrases over and over in emails to clients? Using a text expander app/program has saved me so much time!

Learn more about how I use it here:

Using a text expander app/program has saved me so much time! I use it when I email clients to schedule appointments or direct them to our online scheduler, benefit check emails, client refund/balance emails and a whole lot more!

I don’t know about you, but I loathe having to tell a client who we originally told they have a $20 copay that they actually have a deductible and now have a much higher fee. I really really really hate writing those emails to clients, but sometimes, it’s unavoidable.

By having a disclaimer that you use in your conversations or emails with clients you ensure that you have done due diligence and made the patient aware that their fees and benefits could change and you will not know if your quote is totally accurate until the claim is processed.

While it may seem obvious that clients make sure that they are providing up to date and correct information about themselves, when it comes to checking their eligibility you also have a responsibility to let them know that there may be a different outcome.

First of all—congratulations!

If you are reading this post, that means you are at least thinking about expanding your practice and forming a group, which hopefully means you have a successful group practice or maybe just big dreams!

For the sake of this blog post, I am going to assume that you are in a solo practice with a sole proprietor EIN and have individual contracts with insurance companies.

Here are the steps you should take when expanding from a solo practice to a group practice:

Prep work. Contact insurance companies: You will get sent group contracts and most likely group rosters. While waiting for your new group contracts to be executed, you can still bill under your sole prop EIN as usual. Once the contracts are executed, be mindful of the effective date.

If you're a group practice owner who uses Simple Practice, did you know that the person(s) with the 'biller' role (team member) gets an AWESOME evening summary and 'daily agenda' email??

Want to know how to create that? Check out my blog:

Did you know that the person(s) with the 'biller' role (team member) gets an AWESOME evening summary and 'daily agenda' email?? Thinking about offering group therapy and not sure how to bill, or even what counts and doesn’t count as group psychotherapy. In this blog I break it down for you so you can have total clarity on this service!

I often get a lot of questions around group therapy and how to bill/what counts and doesn’t count as group psychotherapy. Here is what CMS/Medicare says about the good ol’ 90853 CPT code.

Question: How often do you receive calls from clients with XYZ insurance and although you're not in network with them (and don't want to be), you don't want to turn these clients away?

In this blog I breakdown the three options that help you bill out-of-network while also putting your clients at ease.

“You’re getting lots of calls from clients with ABC insurance, but you do not want to become in-network, nor do you want to turn these clients away.”

Ever had that feeling of dread come over you then you receive a message from the representative of an insurance company wanting to do a care review on one of your clients and they’ve asked you to call them back.

There's no need to panic. I’ve had many of these phone calls throughout the years and every time the person on the other end of the phone was pleasant/friendly and asked me basically the same questions. In this blog I share my 6 tips to get through a care review.

Here are some tips to get you through it: The client's diagnosis. The date they started seeing you and what brought them into treatment. Any prior history of treatment and/or hospitalizations or any since they have started treatment with you. Substance abuse history.

This e-book was created from my own trials and tribulations when verifying insurance benefits over the years as well as my conversations with my own consultation clients and other clinicians. I put myself in the mindset of ‘what would someone new to insurance verification need/want to know?’

I’ve included many scripts that are based on my hundreds of phone calls with prospective clients and insurance representatives.

My hope is this e-book provides you with the confidence to navigate the insurance process and better understand insurance benefits.

There are lots of scenarios where this happens! Although it’s best to try to avoid billing for two services on the same day, sometimes it’s unavoidable with schedules and more convenient for the client if they are scheduled on the same day.

Ever wonder if you could bill for two services on the same day? Danielle talks about using the 59 modifier to accomplish exactly this.
