If I were a clinician or coach trying to grow my business without burning out, I wouldn’t start with big, complex systems.

I’d start with the tasks that interrupt my focus the most.

Usually that looks like:
✨inbox and email management
✨social media and email marketing
✨admin follow-ups and reminders

Because these tasks don’t just take time, they fragment your entire day.

You sit down to focus… and get pulled into something else.
You try to plan… and get interrupted.
You try to rest… and remember something you forgot.

Once those pieces are supported, everything else becomes easier to manage.

Most clinicians and coaches don’t struggle with ideas. They struggle with capacity.

You might have:
✨new offers you want to launch
✨programs you want to build
✨ideas for expanding your services

But then the week fills up with everything else:
✨client admin
✨inbox management
✨rescheduling
✨catching up on tasks you didn’t get to yesterday

And the “growth work” gets pushed to the side again.

This is one of the most common patterns I see; a lack of protected time and support around the business itself.

When your backend is constantly pulling your attention, there’s no space left for expansion.

A day in the life of a Virtual Assistant working with mental health practitioners & coaches 👇

This week I am trying time blocking, and day 1 was a success! 🙌

8am-9am: Respond to emails, DM's and WhatsApp

9am-10.30am: Schedule May content in for a client (as approval came in over the weekend).

10.30am-12pm: Create + schedule my own content for the next 2 x weeks

12pm-1pm: Reformer Pilates & Lunch break

1pm-2pm: Started editing a Lead Magnet for a client

2pm-3pm: Brainstormed collaboration ideas for a client, to get ready to pitch them for collabs, UGC & to be a podcast guest.

3pm - 3:30pm: Responded to emails in a client's inbox

3:30pm-4pm: Listened to a VA Podcast

4pm - 5pm: Finish work for the day, read a chapter of a book outside in the fresh air.

5pm-6pm: Gym

Every day looks completely different in my business, and that is exactly the way I like it. But to know I get to support my clients, whilst doing what I love, it really is the best feeling!

You didn't become a therapist to drown in admin

Want to save 5+ hours a week? 👇

Write down every task you do outside of client sessions.

Now sort them into 3 columns:

✅ Must do myself e.g. clinical notes, treatment planning
🤔 Can do myself e.g. scheduling, invoicing, email follow-ups
📤 Can delegate e.g. inbox management, paperwork, appointment reminders, social media, client onboarding packs, waitlist coordination

Now look at that third column.

That's your 5+ hours back.

Every task in the "delegate" column is something I do for mental health practitioners, so they can stay in their zone of genius and spend more time with clients (or finally take a proper lunch break).

If you're a therapist or coach running your own practice, I'd be willing to bet at least three of these are true for you:

→ Your inbox is technically "managed", but it stresses you out
→ You have a project management tool you set up once and never really use
→ Onboarding new clients involves a lot of manual back and forth
→ You keep meaning to document your processes but never get to it
→ You finish client sessions energized and then hit a wall doing admin
