🏥 Medical Receptionist Job Description Overview
Purpose: To provide high-quality administrative, secretarial, and front-of-house services to patients, doctors, and staff, maintaining patient confidentiality and supporting efficient clinic operations.
Key Responsibilities & Duties:
Front Desk & Patient Services
* Greeting & Directing: Greet patients and visitors warmly, verify appointments, and direct them to the appropriate area or person.
* Appointment Management: Schedule, reschedule, and confirm patient appointments, manage the appointment calendar, and call patients for appointment reminders.
* Telephone Operations: Answer and manage a high volume of calls, triage calls, take accurate messages, and direct calls to the correct staff member or department.
* Registration & Forms: Assist patients with completing registration and medical history forms, ensuring all necessary documentation is accurate and up-to-date.
* Wait Area Management: Maintain a clean, tidy, and welcoming reception and waiting area, ensuring patient information materials are available.
Administrative & Clerical Support
* Patient Records: Locate, file, scan, and manage patient records (both paper and electronic, such as Electronic Health Records/EHR systems) while strictly adhering to confidentiality laws (e.g., HIPAA).
* Correspondence: Open, distribute, and manage incoming and outgoing mail, faxes, and emails.
* Billing & Payments: Process payments (cash, EFTPOS, etc.), issue invoices and receipts, and assist with general billing and insurance inquiries.
* Office Supplies: Monitor and order office, medical, or clinical supplies as directed to maintain adequate stock levels.
* General Tasks: Perform other administrative tasks such as photocopying, data entry, and assisting medical staff (doctors and nurses) with basic clerical duties.

To succeed as a Medical Receptionist, candidates generally require a mix of technical, organizational, and interpersonal skills:
* Customer Service Excellence: A friendly, professional, and empathetic demeanor when dealing with patients, including those who may be distressed or difficult.
* Communication Skills: Excellent verbal and written communication for interacting with patients, medical staff, and insurance companies.
* Organizational & Time Management: Strong ability to multitask, prioritize duties (like managing phone calls and in-person check-ins), and maintain a well-organized workspace.
* Attention to Detail: Critical for accurate data entry, billing, scheduling, and processing patient information and medical records.
* Technical Proficiency: Competence in using office software (MS Office), email, and specialized medical office software/EHR systems.
* Knowledge Base: Basic understanding of medical terminology is often highly advantageous.
