This isn’t an easy post to share, and I’ve been waiting for the right time to put this out there, but we need to reiterate our cancelation policy.
As a small business owner, this is a conversation happening across all service industries right now, and it’s one we need to have to protect the future of our clinic.
We completely understand that life happens. Kids get sick, work runs late, and sometimes plans just change or it’s so crazy that appointments get overlooked—we truly get it!
But as much as we lead with our hearts, we have to ensure our clinic remains sustainable.
So this is a gentle reminder that when you book at Ursk, that time is a “promised” block reserved exclusively for you.
We use those bookings to forecast our hours, our staff, cash flow and meet our basic financial business obligations.
Unfortunately, when a cancellation happens last minute, it leaves a therapist waiting in the clinic with an “empty chair” that could have been offered to a guest on our waitlist.
Even when the chair is empty, our overhead costs remain the same.
To help you stay on top of your bookings, we have a clear reminder system:
• 72 Hours Prior: You’ll receive a confirmation email 3 days before your visit. This is the best time to check your diary.
• 48 Hours Prior: We send a text message reminder 2 days before your appointment as a final prompt.
• The Commitment: Because we have held this time specifically for you, any changes made after the 48-hour mark will result in a forfeit of the reservation fee.
We will always do our best to find another time that works for you, but we ask that you reach out as early as possible so we can support you.
