Receptionist & Therapy Assistant

Permanent Part-Time (3–4 full days per week)
Therapy Assistant duties taking up approximately 10 hours per week of this

This dual-role position focuses primarily on providing high-level administrative and reception support to ensure the smooth daily operations of the clinic. As the first point of contact for clients and visitors, the role is essential in creating a positive and professional front-of-house experience. In addition to front desk duties, the position also provides occasional therapy assistant support to clinicians approximately 10 hours per week to help facilitate effective client care.

Key Responsibilities:

Primary Focus – Receptionist / Administrative Duties:
• Greet clients and visitors warmly and professionally.
• Manage incoming phone calls and emails; respond to enquiries or redirect as appropriate.
• Schedule appointments and manage the clinicians’ calendars efficiently.
• Oversee client intake, billing, and payments
• Maintain accurate and up-to-date client records in accordance with privacy standards and legislation.
• Perform general administrative tasks including data entry, digital filing, and scanning.
• Coordinate with therapists and other staff to support daily operations.
• Contribute to maintaining a clean, organised, and welcoming reception and waiting area.

Secondary Focus – Therapy Assistant Duties (approx. 10 hours/week):
• Assist therapists and clients during sessions, (e.g., setting up activities or equipment). When trained and confident run therapy based programs individually with clients.
• Monitor and report any client/safety concerns to the supervising therapist.
• Help maintain hygiene standards and infection control procedures.
• Assist with documentation or basic data entry related to therapy sessions.

Key Selection Criteria:

Qualifications:
• No formal qualifications required; however, a strong interest in administration and a passion for supporting people in a healthcare setting is essential.
• First Aid and CPR certification (preferred).
• Previous experience in a receptionist, administrative, or customer service role, ideally within a healthcare environment.
• Previous experience in support work or therapy assistant work highly regarded.

Skills & Attributes:
• Strong communication and interpersonal skills.
• Professional, organised, and capable of working independently.
• Ability to prioritise and manage multiple tasks effectively.
• Warm, empathetic, and respectful approach to clients of all ages and backgrounds.
• Proficient in Microsoft Office and clinic management software. (Office currently uses Halaxy and OneDrive.)
• Willingness to support therapy teams and learn basic clinical procedures as needed, as well as run therapy sessions individually when required once training is provided.
• High level of discretion and respect for client confidentiality.

Work Environment:
• Primarily based at the clinic front desk with regular interaction with clients and clinicians.
• Approx. 10 hours per week in a clinical support role within therapy settings.

Huge congratulations to our beautiful Kelly! 🎉👏😍
Kel has been formally promoted to the role of Practice Manager at Diverging Pathways.
This is so well deserved!
Kel is an amazing administrator and is a key part of everything that happens each and every day at our clinic. We are excited she has agreed to take on this role and grow in her leadership within our business.
