Position Description
Clinical & Reception Coordinator (Hybrid Role)

Position Summary

This hybrid role ideally combines patient-facing medical reception with clinical and nursing support, playing a key role in delivering a high-quality, professional and compassionate patient experience. The Clinical & Reception Coordinator supports the smooth day-to-day operation of the clinic by coordinating patient flow, providing administrative and financial support, assisting with clinical care where appropriate, and maintaining high standards of confidentiality, safety and professionalism.

Key Responsibilities

Patient Experience & Reception
• Welcome and assist patients and visitors in person, by phone and electronically in a friendly, professional and timely manner
• Coordinate patient flow through the clinic to support efficient consultations
• Manage appointment bookings in line with clinic policies, including fee disclosure and billing information
• Maintain a clean, calm and welcoming reception environment
• Communicate clearly with patients to anticipate needs and ease anxieties
Clinical & Patient Care Support
• Provide physical and emotional support to patients before, during and after consultations
• Identify and respond to patient concerns, escalating to clinical staff as required
• Assist medical practitioners with patient care and treatment room preparation where appropriate
• Attend promptly to distressed patients and support emergency responses in line with clinic protocols
Confidentiality & Documentation
• Maintain strict confidentiality of all patient and clinic information
• Accurately document patient interactions, clinical support and administrative activities
• Handle all records and documentation to a professional and legal standard
Administrative & Financial Duties
• Process patient accounts, payments and third-party claims in accordance with clinic policies
• Maintain accurate patient records and appointment systems
• Prepare correspondence and documents using medical terminology as required
• Manage incoming and outgoing mail, deliveries and couriers
Stock, Equipment & Systems
• Monitor and maintain clinical and administrative stock levels
• Ensure medical and office equipment is operational, safe and well maintained
• Follow correct computer system procedures including daily backups and shutdown protocols
Communication & Teamwork
• Communicate effectively with patients, practitioners and team members
• Support a cooperative, respectful and solution-focused team environment
• Participate in handovers and workflow coordination at the start and end of shifts
Patient Complaints & Safety
• Acknowledge patient concerns professionally and refer appropriately to the Practice Manager
• Follow all workplace health and safety policies and report incidents promptly
• Actively contribute to a safe, compliant and supportive work environment
Professional Standards
• Adhere to all clinic policies, procedures and professional standards
• Maintain relevant professional registration and ongoing professional development where applicable
• Perform other duties as required to support clinic operations
