POSITION: MEDICAL OFFICE ASSISTANT (MOA)
FULL TIME HOURS (0-40 HOURS PER WEEK)
WAGE: $18/HOUR POTENTIAL PAY INCREASE AFTER PROBATIONARY PERIOD
(BASED ON EXPERIENCE AND ANNUAL PERFORMANCE)
POSITION SUMMARY:
The MOA, under the direction of the physician specialist, will primarily be responsible for scheduling and confirming patient appointments/ tests/ follow-ups and managing physician schedules. The MOA must be able to share information collected from patients with the appropriate medical team members and keep everything private and confidential. The MOA must be able to communicate and work effectively on a multidisciplinary team and have a working knowledge of medical terminology. Attention to detail is CRITICAL.

JOB DUTIES:
- Opening tasks and closing tasks at the clinic daily.
- Greet and direct patients to appropriate medical resource /service
- Maintain office /washroom/hallways/ exam rooms/ keeping office clean at all times
- Answer external and internal phone calls
- Handle all correspondence, including, telephone, email, scan, fax and mail
- Knowledgeable with EMR system
- Schedule and confirm patient appointments/test/follow-ups and manage physician schedules
- Manage referrals (critical task)
- Measure and document vital signs on each patient
- Prepare patient for assessment
- Provide admin support and perform general clerical duties
- Update and maintain electronic medical system
- Analyze data and relevant info to: compose reports, compile statistics, and prepare letters, memos and statements, agendas etc.
- Clean and sterilize office area / bathroom / garbage dispose
- Prepare examination rooms with the necessary need for doctor
- Arrange for any medical material to be properly cleaned or disposed of
- Participate in meetings as requested
- Booking appointments, scanning documents into the EMR and collecting payments if needed using the EMR.
- Answering, screening, and forwarding telephone calls
- Tracking patient referrals
- Completing patient call-backs, appointment reminder calls, and appointment re booking for no-shows.
- Assisting in completing health history forms, and showing patients to consultation rooms.
- Operating office equipment such as voicemail, photocopiers, fax machines, scanners and computers.
- Other duties as assigned.
REQUIREMENT:
- Preferably speaks French and English
- Working knowledge of medical terminology
- Familiarity with billing preferred
- Ability to communicate and work effectively on a fast-paced environment
- Proficient in use of computers and office equipment
- Excellent organizational skills and problem-solving skills
- Previous experience in handling confidential or sensitive information, knowledge of applicable data privacy laws.
- Able to maintain filling systems and basic databases
