🚀 We’re Hiring: Program Coordinator (Remote, Full-Time)
Are you highly organized, client-focused, and passionate about supporting mental health programs? Join our team and help ensure a seamless experience for both clients and clinicians across specialized programs such as Cognitive Behavioral Therapy for Insomnia (CBT-I) and ADHD services.

💼 Key Responsibilities:

Intake & Referral Coordination
- Coordinate client intake into psychotherapy programs
- Track and respond to referrals; match clients to clinicians
- Oversee the intake process and secure insurance pre-authorizations
- Confirm/Update clinician availability as needed

Client Communication & Scheduling
- Contact referred clients to confirm interest, provide program overviews, and screen for fit
- Schedule consultations and sessions
- Explain intake steps, forms/questionnaires, delivery options (virtual or in person) and policies
- Assess additional needs for other services (eg: psychotherapy, assessments, neurofeedback)

Clinical & Administrative Setup
- Create/update client files in booking system; ensuring all relevant documents (diagnoses, ID numbers, insurance info, notes) are complete
- Send intake forms, write consultation notes, and coordinate billing

Program Process Improvement
- Create programs in booking system and link to clinicians as new programs launch
- Review and refine program workflows and documents

Ongoing Support & Monitoring
- Track attendance, progress, and outcomes
- Respond to inquiries, manage rescheduling, billing (including VAC and Blue Cross), and reporting
- Send evaluations and follow-ups, update tracking systems and summary reports to help track success

Clinician Onboarding
- Promote programs to clinicians, track interest and provide training
- Work with program leads and add clinicians to systems

🎓 Qualifications:
- Post-secondary education in healthcare administration, psychology, or related field
- 2+ years administrative coordination experience (mental health/clinical preferred)
- Experience in a psychology clinic or with government-funded programs (CBT-I, ADHD, Neurofeedback) an asset
- Strong organizational, communication, and interpersonal skills
- Experience handling sensitive health information with confidentiality
- Insurance billing experience (VAC, Blue Cross)
- Proficiency with Jane App, Microsoft Excel, and email communication an asset
- French language proficiency is an asset

💡 About the Role:
As Program Coordinator, you’ll be the consistent, veteran-centered point of contact across Nuvista Mental Health and True North Psychological Services’ veteran and VAC-funded programs. You’ll guide veterans through complex authorization processes, support engagement and retention, and ensure accurate tracking across care pathways.

🔑 Core Responsibilities include:

Client Intake & Navigation
• Serve as the first point of contact for veteran referrals, ensuring timely, supportive, and trauma-informed communication.
• Guide veterans and VAC-funded clients through insurance processes (Blue Cross, VAC), including pre-authorization and K-number acquisition.
• Match veterans to appropriate clinicians and services based on clinical need, VAC eligibility, and client preferences.

Client Communication & Retention
• Provide clear education to veterans about available services, programs, and VAC-funded care processes.
• Maintain regular contact with veterans to confirm engagement, address questions, and reduce drop-out.
• Support veteran access to additional services (psychotherapy, neurofeedback, assessments) as appropriate.
Program Coordination & Tracking
• Manage scheduling, intake documentation, and veteran client file setup across platforms.
• Track veteran progress, retention, and outcomes using program tracking systems.
• Monitor and report on veteran program participation, drop-outs, and evaluation feedback.
Billing & Administrative Support
• Submit and reconcile veteran care claims with VAC/Blue Cross and internal systems.
• Ensure billing accuracy across VAC-funded and veteran service programs.
• Liaise with clinic administrative teams for coordination of veteran-related private billing.

Collaboration & Standards
• Support the development and refinement of veteran and VAC-specific program processes, documents, and training materials.
• Participate in team-based training and knowledge-sharing to maintain consistency across veteran service delivery.
• Contribute to building a veteran-centered, trauma-informed intake system that evolves with organizational growth.

🎓 Qualifications:
• 1–2 years of experience in Veteran Care Settings (required)
• Post-secondary education in healthcare administration, psychology, or related field
• Direct experience with VAC-funded care workflows (authorizations, K-numbers, claims)
• Strong knowledge of VAC programs, benefits, and service pathways
• Experience handling sensitive health information with confidentiality
• Experience working with veterans impacted by trauma/PTSD
• Ability to build trust and rapport from first contact
