Clinic Administrator and Client Care Coordinator

Cedar Rock Wellness is a growing multidisciplinary health and wellness clinic in Squamish. We are seeking a reliable, organized, and proactive Clinic Administrator and Client Care Coordinator to support daily clinic operations, client experience, and light marketing and communications.
This role is central to the smooth functioning of the clinic and requires someone who is confident with healthcare administration systems, insurance processes, and digital communication tools.
Key Responsibilities
• Front desk and client care support including in-person, phone, email, and text communication
• Daily use and management of Jane App CRM including scheduling, billing, chart management, packages, and reporting
• Insurance management including extended health benefit billing, third-party software use, reconciliation, and client support with claims
• Coordination with clinicians regarding schedules, room usage, and clinic flow
• Invoicing, payment processing, and basic financial administration
• Maintaining a welcoming, organized, and professional clinic environment
• Supporting clinic communications and promotions across digital platforms
Marketing and Digital Support Responsibilities
• Creating simple branded assets using Canva (posts, stories, flyers, basic signage)
• Supporting clinic presence on Instagram, Facebook, and TikTok
• Posting scheduled content and assisting with engagement and community communication
• Working from existing brand guidelines and templates while maintaining a consistent clinic voice
Essential Qualifications and Experience
• Demonstrated experience using Jane App CRM in a healthcare or wellness setting
• Strong understanding of insurance billing and third-party insurance software
• Experience supporting extended health benefit claims and client inquiries
• Comfortable using Canva to design basic digital marketing assets
• Working knowledge of Instagram, Facebook, and TikTok for business use
• Strong organizational skills with excellent attention to detail
• Professional, warm, and confident communication style
• Ability to work independently and manage competing priorities
Preferred Assets
• Experience in a multidisciplinary clinic environment
• Familiarity with healthcare privacy standards and confidentiality
• Interest in health, wellness, and community-based care
Position Details
