Overview
Jamesā Toyota is seeking a highly organized and personable Appointment Coordinator to join our Service Department team. As the first point of contact for our guests, youāll play a crucial role in creating a positive impression and ensuring a smooth, efficient service experience from start to finish.
This role requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced dealership environment.

Key Responsibilities
⢠Answer and direct inbound service calls in a friendly and professional manner.
⢠Schedule and confirm service appointments accurately based on technician availability and workload.
⢠Respond to online and email inquiries promptly and professionally.
⢠Verify customer information (VIN, contact details, mileage, vehicle history) to ensure records are accurate and up to date.
⢠Coordinate appointment reminders and confirmations via phone, text, or email.
⢠Follow up with customers regarding recommended maintenance, recalls, or unfinished work.
⢠Work closely with Service Advisors and Technicians to ensure efficient scheduling and smooth daily operations.
⢠Assist with transportation arrangements such as shuttle or rental coordination.
⢠Maintain a calm and professional tone when handling multiple requests or addressing customer concerns.
⢠Support administrative tasks related to daily service operations as needed.

What Weāre Looking For
⢠Strong verbal and written communication skills.
⢠Excellent attention to detail and accuracy in data entry and scheduling.
⢠Friendly, patient, and professional phone manner.
⢠Ability to multitask and stay organized in a busy environment.
⢠Proficiency with computers and scheduling systems (experience with PBS DMS or dealership software is an asset).
⢠A team player who thrives on providing great customer service.
⢠Previous experience in a dealership, call center, or administrative role is preferred.
