GDPR regulations breached at reception areas

Sixty-two per cent of office workers check out who has checked into an office before them because organisations are inadvertently breaking GDPR regulations.

Its study elicits that 62% of office workers across Europe and the US have confessed to looking at the list on a paper visitor book to see who has signed in before them – meaning that those businesses that continue to use paper logbooks are in breach of GDPR.

The paper logbook leaves the records of previous visitors easily visible to anyone who looks at them.

Even the solutions intended to prevent this from happening, such as ‘discreet sheets’ or ‘peel-off systems’ are imperfect and can be easily tampered with. Under GDPR, organisations should ensure that the names of those who have previously signed in are not visible to the next person.

“If the logbook is safely stored, if the data cannot be disclosed to third parties (other than receptionists), if it is destroyed in the shredder on a regular basis, and if all other GDPR requirements are complied with it may be argued that a logbook might indeed be GDPR-compliant.”

The research indicates that 40% of office workers have experienced a negative corporate welcome when coming into a building. Over 70% (71.48%) cited unfriendly receptionists, followed by over half (53.78%) naming a lacklustre welcome as top reasons for their bad experience.

Encouraging Wellbeing in the workplace

Encourage staff to make healthy choices about what they eat at work. One suggestion is to promote healthy eating days when employees bring in different healthy foods and share what they have brought. Eating a balanced diet helps to maintain energy levels and boosts performance.

Make sure staff have access to drinking water as a much healthier alternative to tea and coffee. Regularly drinking water helps to keep headaches at bay and is more refreshing than less healthier alternatives.

Organise health promotion sessions at lunch time such as yoga and relaxation classes.

Provide support to help smokers beat their habit. There are a number of organisations such as QUIT who can offer workplace support with smoking.

If you have employees whose jobs involve long periods of time where they are sedentary, encourage them to take a break regularly, go for a walk, take the stairs instead of the lift, cycle or walk to work – a good idea to promote this amongst all staff not just those in sedentary jobs.

Under health and safety legislation, employees are entitled to regular, reasonable breaks during their working day. Set an area aside that they can go to get away from their desk.

Ensure that staff who area seated for long periods of time know about correct posture and have a chair with back support as well as a desk and computer at the right height and positioned in the right place.

Encourage staff to have lunch away from their desk so that they get a proper break.

Train staff in manual handling to minimise back injury.

Keep an eye out for work-related stress, depression or anxiety as this can have a great impact on wellbeing in the workplace and ultimately on performance. Talk to staff who may be at risk and those you are concerned about.
