Administrator/HR Assistant Vacancy
We’re looking for a highly organised, discreet, and enthusiastic Administrator / HR Assistant to join our dedicated team. This vital role will provide comprehensive administrative support across our operations, with a significant focus on our HR functions. You’ll play a key part in ensuring our recruitment processes are robust, our staff records are meticulously maintained, and that we remain fully compliant with all relevant legislation, particularly around safeguarding.
This role is crucial for the smooth running of our services and the well-being of our staff team, allowing our care professionals to focus on what they do best: supporting our service users.
Key Responsibilities:
As our Administrator / HR Assistant, you will:
Recruitment & Onboarding:
Manage the end-to-end recruitment process for all roles within the company (e.g., Carers, Support Workers, Senior Support Workers, Deputy Managers), including drafting and posting job adverts, screening applications, and coordinating interviews.
Administer the DBS (Disclosure and Barring Service) check process for all new and existing staff, ensuring timely renewals and compliance with safeguarding regulations.
Process and meticulously track all pre-employment checks, including references, right to work, qualification verification, and health declarations, in line with safer recruitment guidelines (e.g., Keeping Children Safe in Education, Children’s Homes Regulations 2015).
Prepare offer letters, contracts of employment, and comprehensive new starter packs.
Coordinate and support the induction process for new employees, ensuring all necessary documentation is completed and filed.
HR Administration:
Maintain accurate and up-to-date electronic and physical employee records, ensuring full data protection (GDPR) compliance.
Process HR-related documentation, including leaver administration, changes to terms and conditions and absence reporting.
Maintain employee records within Human Resource Information Systems (HRIS) and ensure data accuracy.
Assist with the administration of training records, ensuring staff complete mandatory training (e.g., safeguarding, first aid, medication).
Support the payroll process by providing accurate employee data changes (starters, leavers, hours changes, etc.) to the payroll department/provider.
Prepare various HR letters, reports and internal communications as required.
General Administration & Support:
Act as a first point of contact for routine HR and administrative queries from staff members, signposting them to relevant policies or escalating complex issues to senior management.
Manage incoming and outgoing correspondence (post, email).
Maintain office supplies and equipment, ensuring the smooth operation of the administrative functions.
Assist with general administrative duties to support management and the wider care team.
Essential Skills and Experience
At least 1 year of administrative experience in a busy office environment, ideally within an HR department.
A strong understanding of the importance of confidentiality and data protection (GDPR).
Exceptional organisational skills and meticulous attention to detail, particularly with record-keeping and compliance documentation.
Excellent written and verbal communication skills, with a professional and approachable manner.
Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
Ability to work independently and as part of a team, managing multiple tasks and prioritising effectively.
A proactive, enthusiastic and discreet demeanour.

Desirable Qualifications/Experience
Working towards or holding a Level 3 HR qualification (e.g., CIPD Foundation Certificate in People Practice).
Experience with HR Information Systems (HRIS).
Previous experience in a care, education, or charity sector, with an understanding of safer recruitment principles.

Pay: £24,500.00-£28,200.00 per year
