👉🏾 Dealing with complaints from clients and their NOK’s can often be a lengthy process especially when you don’t have a clear process flow to deal with them

Where do you begin? 👇🏾

#1 Acknowledge the complaint ASAP!
Ensure that your response time to any complaints received whether verbal or written is limited to assure the client that they are valued and if there will be a delay in responding to them, you let them know when they are likely to receive a response.

#2 investigate
Obtain the facts from the parties involved and review any documentation involved. Make sure that this process is done quickly as memories tend to fade and the details surrounding the complaint may not be as vivid as each day passes.

#3 Respond in person or in writing
If possible, a meeting should be arranged between management and the client/NOK where the outcome of the investigation and solutions are presented. A written response is essential whether or not a meeting is held in person which clearly shows the outcome and solutions to the complaint.

#4 Follow up
Following up with the client makes them feel seen and appreciated, and shows good faith on your behalf as a care provider. It can be done in person or in writing.

‼️Keeping track of carer’s in the community including the clients they have seen, whether the calls/appointments have been covered on time and when they have completed their runs/shifts can be quite tricky especially with the additional duties that you may have as a manager.

This goes to a time a couple of years ago when I had just started out as a virtual assistant for a health and social care company based in Northampton.

In less than 2 years I had built the remote team from one individual to a team of 4 highly skilled and well trained remote workers providing administrative and customer care support services to the company and enabling management to have more time to fulfill their personal and family needs.
