Position: Administration Assistant
Location: Southampton

Responsibilities:

Client Coordination: Assist in managing client records, scheduling appointments, and coordinating client care plans.
Staff Support: Provide administrative support to our caregiving team, including scheduling, payroll assistance, and maintaining staff records.
Documentation: Ensure accuracy and completeness of all administrative documents, including client assessments, care plans, and incident reports.
Communication: Serve as a point of contact for clients, caregivers, and external stakeholders, handling inquiries and relaying important information in a timely manner.
Office Management: Maintain office supplies, organize files, and assist in general office duties to ensure a productive work environment.
Requirements:

Previous experience in an administrative role, preferably in a healthcare or social care setting.
Excellent organizational skills and attention to detail.
Strong communication skills, both written and verbal.
Proficiency in Microsoft Office Suite and other relevant software applications.
Ability to multitask and prioritize tasks effectively in a fast-paced environment.
Empathy and compassion towards clients and caregivers.

Office Administration-Part time -20hours/week
Southampton, Hampshire

We are keen to find a new team member due to growth and progression with the business. Working as part of an office team of 3 you will be point of contact for the business and support with the wider administration for the management and project managers.

Duties

Answering calls in to the business in a professional manner, direct as necessary or take messages
Booking in appointments and diary handling for team
Sending out completed technical information to clients and companies as well as other information as directed.
Filing
General Office Administration
Completing new client paperwork and sending out agreed terms and conditions etc
Updating Spreadsheets
Dealing with the post
Knowledge of Xero would be advantageous but not essential

Experience

Excellent computer skills including confidence using Excel and learning inhouse systems
Confident communicator – via telephone and written means to people at all levels
Team player – can be relied upon to help others and coordinate in their absence
