Work Schedule: Monday - Friday, 8:30 AM – 5:30 PM

Job Overview:
Close Brothers Ltd, a leading building and maintenance contractor based in Wickford, Essex, is looking for a proactive and detail-focused Administrative Assistant with an interest in building their knowledge within the Construction Industry. This is relevant in supporting our ongoing work in the social housing sector. This position plays a key role in supporting both our on-site teams and office operations, ensuring we meet our service commitments to residents and stakeholders.
Working closely with our contract delivery team, you will assist with a range of administrative duties, including client communications, project tracking, and providing comprehensive updates. Full training will be provided making this an ideal opportunity for someone looking to take their first step into the building and maintenance industry.

Key Responsibilities:
1. General Administrative Support:
• Perform a range of administrative tasks such as data entry, document management, and office coordination.
• Support report preparation, presentations, and professional correspondence.
• Maintain office supply levels and help ensure the workspace remains organised and functional.
2. Social Housing Client Liaison:
• Communicate regularly with social housing clients and stakeholders to provide updates and respond to queries.
• Log and track client issues, ensuring a high standard of service delivery and customer satisfaction.
• Maintain a courteous and efficient front-line contact with residents, contractors, and local authorities where required.
3. System Management:
• Keep the system accurate and up to date with client interactions, appointments, and project data.
• Input new contacts and ensure records are current and comprehensive.
• Produce reports from our system to support internal reviews and compliance.
4. On-Site & Team Coordination:
• Liaise with field staff to gather information and documentation for project records.
• Assist in scheduling and coordinating works across sites, ensuring efficient communication between the office and on-site teams.
• Support logistical needs of the social housing works, including arranging access, materials tracking, and documentation flow.

Qualifications and Skills:
• Previous administrative experience, ideally within construction, housing, or property services.
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
• Strong written and verbal communication skills.
• Highly organised, with the ability to manage multiple tasks and priorities.
• Self-motivated with great attention to detail.
• Trustworthy and discreet when handling sensitive information.
