Receptionist — Apex Dental & MedAesthetic Centre
Location: Trident Park, Notabile Gardens, Triq l-Imdina, Birkirkara
Hours: Full-time or reduced hours (flexible to suit the right candidate)
About us
Apex Dental & MedAesthetic Centre is a modern private dental and aesthetics practice at Trident Park in Birkirkara. Led by implantologist Dr. Jonathan Mifsud, our team of five dentists and a dental hygienist provides everything from routine check-ups and hygiene care to advanced implant, cosmetic and orthodontic treatments. Patients choose us for our clinical standards, our warm and unhurried approach, and a reception experience that sets the tone for the whole visit.
The role
We are looking for a friendly, organised receptionist to join our front-of-house team. You will be the first person our patients meet — in the clinic, on the phone, and on WhatsApp — so a calm, welcoming manner matters as much as accuracy and attention to detail.
Key responsibilities
Greet and check patients in, making them feel at ease from the moment they arrive
Answer phone calls, WhatsApp messages and emails promptly and professionally
Book, confirm and reschedule appointments across multiple dentists' diaries
Prepare and issue invoices, take payments, and keep patient records accurate and up to date
Liaise with dentists and the nursing team to keep the day running smoothly
Manage the reception area so it is always tidy, calm and presentable
Handle routine admin: post, stationery, supplier correspondence, filing
What we are looking for
Fluent English and Maltese, both spoken and written
A genuine warmth with people and strong interpersonal skills
Comfortable with computers and quick to learn new software — full training on our practice management system is provided
Organised, reliable, and able to stay calm during busy periods
Previous reception, customer-service or healthcare-admin experience is an advantage, but attitude and willingness to learn matter more
