RECEPTIONIST – 1 POSITION

Job Overview

The Receptionist will be the first point of contact for patients, visitors, and stakeholders, ensuring a welcoming and professional environment at the hospital. The role involves managing front desk operations, including patient registration, appointment scheduling, handling inquiries, and directing patients to the appropriate departments. The Receptionist will also provide administrative support to medical and administrative staff, maintain accurate records, and ensure confidentiality of patient information. This position is vital in creating a positive patient experience and supporting the smooth operation of hospital services.

Key duties and responsibilities

Front Desk Management
• Greet and receive patients and visitors in a professional, courteous, and welcoming manner.
• Answer and direct phone calls promptly, taking accurate messages when necessary.
• Provide information to patients and visitors regarding hospital services, procedures, and policies.
Patient Registration and Records
• Register patients into the hospital system, ensuring accuracy of personal and medical details.
• Maintain and update patient files, records, and appointment schedules.
• Ensure confidentiality of patient information in line with hospital policies and data protection standards.
Appointments and Scheduling
• Schedule, confirm, and manage patient appointments with clinicians and specialists.
• Coordinate rescheduling or cancellations of appointments when necessary.
• Notify healthcare providers of patient arrivals and ensure smooth patient flow.
Administrative Support
• Handle incoming and outgoing correspondence (emails, letters, deliveries, etc.).
• Support the hospital’s billing process by guiding patients on payment procedures and directing them to the finance office where necessary.
• Maintain a clean, organized, and welcoming reception area.
Coordination and Liaison
• Liaise with clinical, administrative, and support staff to ensure smooth hospital operations.
• Assist in emergency situations by directing patients and visitors to the appropriate department or personnel.

Qualifications and Experience

• Must be a holder of Diploma in Business Administration
• A minimum of 3 years’ work experience in a similar role is required. Experience in a hospital setting will be considered an added advantage

RADIOGRAPHY TECHNICIAN – 1 POSITION
Job Overview
Reporting to the Radiologic Technologist, the Radiography Technician will be responsible for delivering
high-quality diagnostic imaging services, including X-rays, ultrasound scans and specialised radiologic
procedures. The role requires a strong technical background, attention to detail, and a patient-centred
approach. The Technician will also support departmental operations through equipment monitoring, quality
assurance, and mentorship of junior staff.

The ideal candidate will demonstrate initiative, sound ethical judgment, and effective communication to
ensure smooth operations within the radiology department. They will be expected to work both
independently and collaboratively, with the flexibility to take on additional duties as assigned.

Key duties and responsibilities
• Perform x-rays, general ultrasound scanning, computerised tomography examinations and other
special examinations.
• Recognise faults in radiographic and photographic equipment and accessories, and report to the
engineer or appropriate authority.
• Recognise radiographic appearances and take necessary supplementary projections for better
diagnosis.
• Assist in supervision and teaching of the practical aspects to assistants and students, or any other
authorised member.
• Have necessary social, ethical and technical skills to ensure the smooth running of the X-ray
department and the care of the patients.
• Be capable of supervising X-ray rooms.
• Managerial skills with the capability to resolve emerging conflicts with the staff members at the
department.
• Should be a self-starter
• Able to perform ultrasound procedures.

Job Summary
Reporting to the Receivables Accountant, this position operates cashiering services

MEDICAL OFFICERS ( 2 POSITIONS)

Job Summary

1. ADMINSTRATION MANAGER 1 POSITION

Location: Lilongwe (PIH Central Office)
Reports to: Director of Operations
Primary Responsibilities
Overview:
The Administration Manager will lead and oversee the administration support to programs and the medical center, ensuring efficient support to project implementation through strategic planning, compliance with donor and organizational regulations, effective asset and inventory management, and general administrative services. The role requires close coordination with Procurement, Finance, Programs, HR, and IT departments to ensure seamless operations in support of USAID-funded initiatives and other programs.

Responsibilities:
Key Responsibilities:

1. Planning & Coordination
• Support program leadership in the development, expression, and implementation of project work plans.
• Coordinate with Admin teams to establish priorities for administrative and logistical support to programs and implementation science units.
• Oversee the organization of program-related events such as meetings, trainings, and conferences, ensuring logistical arrangements (venues, materials, per diems, transport, accommodation) are well managed.

2. Compliance & Operational Integrity
• Coordinate international travel logistics, including bookings, visas, per diems, and accommodations.
• Ensure all financial transactions and payments for program activities adhere to USAID, other donors and PIH regulations.
• Collaborate with Procurement and Finance teams to ensure smooth processes for procurement, financial accountability, and use of office and program support resources.
• Monitor and enforce timely submission of activity liquidations to Finance by Admin Officers in line with Grants & Finance policy.

3. Asset and Inventory Management
• Oversee the Stores function and the distribution of supplies to Central and District Offices.
• Plan and manage asset verification exercises across all PIH locations in line with organizational policy.
• Ensure proper documentation and reporting on inventory status, asset movements, and disposals.

4. HR Administrative Support
• Liaise with the HR Office on administrative tasks related to payroll, particularly overtime verification.
• Participate in staff recruitment processes as required, especially for Admin or support positions.

5. General Administration Oversight
• Maintain an up-to-date Staff Master List and ensure effective communication (e.g., circulation of meeting minutes).

6. Reporting and Documentation

Required Qualifications:

1. TEMPORARY TRANSCRIBER (10 POSITIONS)

Location: Lilongwe
Reports to: Implementation Science Officer

Position Summary

The Transcriber will work as part of the Implementation Science Team at Partners in Hope. This position will be responsible for transcribing/translating IDIs, FDGs and Data collection tools. The Transcriber will meet the needs of short-term qualitative projects within the Implementation Science Department.

Primary Responsibilities
a) Transcribe IDI or FDG audios from local languages to English.
b) Translate and back-translate data collection tools.
c) Submit transcripts and reports within the specific timeline as requested.
d) Ensure detailed, accurate and organised transcribing/translating of materials
e) Ensure translations are completed according to protocol and adhere to ethical research procedures at all times.
f) Conduct data quality checks, including reviewing transcripts in line with interview guides and proofreading transcripts, where necessary.
g) Communicate with the research team about issues emerging for IDIs and provide feedback to Field Assistants as requested.
h) Ensure data security of audios, transcripts and any research material.
i) Serve as a member of the research team, and participate in meetings as scheduled and requested by the research team.
j) Perform other duties as assigned.

Qualifications

• Diploma in Social Science, Humanities, Public Health, or any other relevant field. Those with a degree or higher will have an added advantage.
• Minimum 1-year experience working on research projects, preferably in a related role. Those with experience doing similar work on a public health project will have an added advantage.
• Experience in qualitative data collection (FDGs, IDIs, KIIs, etc).

2. TEMPORARY FIELD ASSISTANT (42 POSITIONS)

Location: Lilongwe
Report to: Study Coordinator

Position Summary

The Field Assistant (FA) will be part of the Partners in Hope Implementation Science Department and will be responsible for collecting both qualitative and quantitative data. Primary responsibilities include conducting in-depth interviews, facilitating focus group discussions, administering surveys, and extracting data from patient registers and follow-up cards.

Primary Responsibilities
a) Recruit, screen, consent, and enrol participants in a study.
b) Provide education on study activities to participants, community gatekeepers, facility staff, and providers. FAs will have differing responsibilities depending on the study types to which they are assigned.
c) Collect data through facility/community surveys, in-depth interviews, and/or collect patient data from medical records, health registers, and health passports.
d) Submit research data and reports as requested.
e) Conduct data quality control activities, including accuracy of original data and data cleaning, when necessary.
f) Serve as a member of the research team, and participate in regularly scheduled meetings with the research team.
g) Communicate relevant updates and issues to the research team on time.
h) Liaise, establish, and maintain productive, effective working relationships with clinic staff, community gatekeepers and members from research sites while ensuring minimal disruption to normal clinic and community activities.
i) Ensure study activities are implemented according to protocol and adhere to ethical research procedures at all times.
j) Perform other duties as assigned.

Qualifications:

• Minimum of a diploma in development studies, social science or any other relevant field from a recognised institution.
• Experience working on research projects, including projects involving human subjects (patients), collecting health data from records and conducting surveys.
• Familiarity with human subject protection and ethical research conduct; possession of a Human Subjects Protection certificate or GCP (Good Clinical Practice) certificate is preferred

• Initiates corrective actions for patient and QC results and reports these incidents to the Laboratory Manager or Laboratory Supervisors.
• Participates in scheduled and unscheduled proficiency testing, to include, but not limited to, external regulatory and internal blind samples
• Maintaining inventory and reporting to the District Laboratory Manager
• Provides routine preventive services of laboratory equipment and maintains inventory.
• Participates in the implementation of the Laboratory Quality Management System
• Participates in quality control and quality assurance activities.
• Ensures compliance with laboratory safety procedures.

Qualifications:
• Must have a Degree in Medical Laboratory Technology from a recognised Institution
• Must be licensed by the Medical Council of Malawi.
• Should have served for at least three (3) years as a Laboratory Technologist in a microbiology laboratory. Those with viral load and EID testing experience will have an added advantage
• Must possess adequate knowledge of instrumentation, theory, and application of new and existing examinations.

2. PHARMACY TECHNICIAN – 1 POSITION MULANJE DISTRICT

Position Summary

The Pharmacy Technician will develop and support the general pharmaceutical capacity and access to HIV-related pharmaceutical services in Mulanje district. S/he will provide technical support to DHO Pharmacy Technicians. S/he is responsible for the quality of pharmaceutical services’ strengthening activities carried out under CORE to ensure improved drug supply chain management. The person will technically report to the Lab / Pharmacy Manager (PIH) and operationally report to the District Pharmacy Manager /DHMO.
Roles and Responsibilities
• Collaborate with pharmacists and DHOS in the development of DIP for HIV-related pharmaceutical services management
• Ensure proper management of the supply chain management of the HIV related drugs and supplies.
• Develop storage guidelines and standard operating procedures for pharmaceutical management of HIV-related medicines and medical supplies (ARTS, OI drugs, HIV test kits) in line with the national LMIS
• Provide on-the-job training to district pharmacy technicians on pharmaceutical management of HIV-related medicines and medical supplies
• Strengthen the district pharmacy technicians’ training capacity of health workers in hospitals and health centres on pharmaceutical management,t including logistics and drug management systems
• Strengthen the mentoring capacity of district pharmacy technicians
• Strengthen HIV-related pharmaceutical data management in line with the national Health Management Information System and LMIS
• Identify service gaps for HIV-related district pharmaceutical management and take remedial action

Qualifications
• Diploma in Pharmacy.
• Familiarity with HIV-related pharmaceuticals, reagents and standard operating procedures and supply chain management
• Computer skills in Microsoft Word, Excel, PowerPoint and Outlook
• Fluent in English and Chichewa
• Previous experience with HIV programs preferred
