Partners in Hope (PIH) is a faith-based Malawian Non-Governmental organization that was established in 2004. PIH has a medical center that operates a general outpatient clinic; inpatient wards; as well as a public HIV- focused Moyo Outpatient Centre of Excellence. PIH is incorporated under the provisions of Trustees Incorporation Act, 1962, in Malawi. Under the KUPEWA project, PIH is seeking to recruit a highly motivated individual for the below position;

1. STUDY COORDINATOR - 1 POSITION

Location: Lilongwe (PIH Central Office)


Reports to: Senior Implementation Science Manager



Overview:

The Study Coordinator will work as part of Partners in Hope Science Department team. This position will oversee a research project conducted at PIH in collaboration with University of California Los Angeles (UCLA) and New York University (NYU). The Study coordinator will be responsible for all study activities, including communication with the Principal Investigator (PI) and local staff, training the study team, managing logistics for study implementation, directly supervising research assistants, conducting frequent site visits, and producing study reports. The Study Coordinator will be directly responsible for all aspects of data collection, working closely with the rest of the Implementation Science Department staff and other Partners in Hope departments.

Key duties and responsibilities

Oversight and implementation support for research projects being carried out under the Partners in Hope Science Department

1. Research Project Oversight
a. Manage research projects
b. Oversee project lifecycle from start-up to closure
c. Ensure adherence to research protocols and ethical standards
d. Supervise Research Assistants on a project
e. Act as intermediary between Principal Investigator and Partners in Hope staff for UCLA/NYU projects
f. Coordinate with operations departments, clinical Programs, and M&E Departments
g. Coordinate patient recruitment, informed consent, enrollment, and data collection
h. Oversee randomization processes where applicable
i. Work with Data Management team to ensure data quality
j. Implement quality control measures across all project aspects
k. Handle general administrative tasks for research projects
l. Allocate and manage resources across projects

2. Regulatory Oversight
a. Regulatory Compliance Management
b. Oversee all regulatory requirements for assigned research studies
c. Focus on Malawi National Health Science Research Committee (NHRSC) compliance
d. Provide support for UCLA/NYU IRB requirements
e. Document preparation and submission to IRB
f. Collaborate with investigators on initial submissions
g. Contribute to writing and editing regulatory documents
h. Compile necessary documentation for submissions
i. Manage delivery of applications to the NHSRC office
j. Follow up on pending applications through regular office visits
k. IRB renewal management
l. Proactively identify IRBs approaching renewal deadlines
m. Prepare and complete renewal applications in a timely manner
n. Act as the primary point of contact for regulatory matters
o. Facilitate communication between investigators and regulatory committees

Qualifications:

*A bachelor’ degree in public health, epidemiology, social science, or clinical research (or related field);

*At least three years of experience working in health research in Malawi or a similar context;

*Experience working as a research coordinator, including experience managing Research Assistants;

*Efficient and effective organizational skills (will be expected to balance multiple tasks, respond promptly to emails, re-prioritize tasks based on last minute deadlines).

*Demonstrated ability to facilitate communication between professionals with a variety of cultural backgrounds in a respectful and diplomatic manner, and enhance effective partnerships;

*Initiative and ability to develop and support research implementation and solve problems independently;

*Strong organizational and computer skills including MS Office, Power Point, Excel and Access;

*Ability to be based in Lilongwe, Malawi for a minimum of two years;

*Ability to travel within Malawi as part of research support;

*Ability to support and facilitate research collaborations between Malawi and UCLA-based investigators;

Job Overview

The Receptionist will be the first point of contact for patients, visitors, and stakeholders, ensuring a welcoming and professional environment at the hospital. The role involves managing front desk operations, including patient registration, appointment scheduling, handling inquiries, and directing patients to the appropriate departments. The Receptionist will also provide administrative support to medical and administrative staff, maintain accurate records, and ensure confidentiality of patient information. This position is vital in creating a positive patient experience and supporting the smooth operation of hospital services.

Key duties and responsibilities

Front Desk Management
• Greet and receive patients and visitors in a professional, courteous, and welcoming manner.
• Answer and direct phone calls promptly, taking accurate messages when necessary.
• Provide information to patients and visitors regarding hospital services, procedures, and policies.
Patient Registration and Records
• Register patients into the hospital system, ensuring accuracy of personal and medical details.
• Maintain and update patient files, records, and appointment schedules.
• Ensure confidentiality of patient information in line with hospital policies and data protection standards.
Appointments and Scheduling
• Schedule, confirm, and manage patient appointments with clinicians and specialists.
• Coordinate rescheduling or cancellations of appointments when necessary.
• Notify healthcare providers of patient arrivals and ensure smooth patient flow.
Administrative Support
• Handle incoming and outgoing correspondence (emails, letters, deliveries, etc.).
• Support the hospital’s billing process by guiding patients on payment procedures and directing them to the finance office where necessary.
• Maintain a clean, organized, and welcoming reception area.
Coordination and Liaison
• Liaise with clinical, administrative, and support staff to ensure smooth hospital operations.
• Assist in emergency situations by directing patients and visitors to the appropriate department or personnel.

Qualifications and Experience

• Must be a holder of Diploma in Business Administration
• A minimum of 3 years’ work experience in a similar role is required. Experience in a hospital setting will be considered an added advantage

RADIOGRAPHY TECHNICIAN – 1 POSITION
Job Overview
Reporting to the Radiologic Technologist, the Radiography Technician will be responsible for delivering
high-quality diagnostic imaging services, including X-rays, ultrasound scans and specialised radiologic
procedures. The role requires a strong technical background, attention to detail, and a patient-centred
approach. The Technician will also support departmental operations through equipment monitoring, quality
assurance, and mentorship of junior staff.

The ideal candidate will demonstrate initiative, sound ethical judgment, and effective communication to
ensure smooth operations within the radiology department. They will be expected to work both
independently and collaboratively, with the flexibility to take on additional duties as assigned.

Key duties and responsibilities
• Perform x-rays, general ultrasound scanning, computerised tomography examinations and other
special examinations.
• Recognise faults in radiographic and photographic equipment and accessories, and report to the
engineer or appropriate authority.
• Recognise radiographic appearances and take necessary supplementary projections for better
diagnosis.
• Assist in supervision and teaching of the practical aspects to assistants and students, or any other
authorised member.
• Have necessary social, ethical and technical skills to ensure the smooth running of the X-ray
department and the care of the patients.
• Be capable of supervising X-ray rooms.
• Managerial skills with the capability to resolve emerging conflicts with the staff members at the
department.
• Should be a self-starter
• Able to perform ultrasound procedures.

CASHIER
Job Summary
Reporting to the Receivables Accountant, this position operates cashiering services
for PIH Medical Centre. The position also resolves patient accounts, including
insurance collections and reimbursements. In addition, the cashier assists in the
preparation of billing and electronic record-keeping.
Key duties and responsibilities
• Welcoming clients and receiving payment from them at the cashier’s office.
• Calculating shortfalls, collecting cash/Cheque payments from patients.
• Temporary custody of cash and Cheque receipts, providing daily balance reports
as assigned.
• Maintaining the petty cash Imprest system, ensuring that appropriate records are
maintained and cross-checks are made on all transactions.
• Daily cash counting and balancing records with physical cash.
• Advising clients on policies and procedures for each medical insurance company

MEDICAL OFFICERS ( 2 POSITIONS)

Job Summary
Reporting to the Medical Director, the position is responsible for providing direct patient care in its Outpatient department clinic, Dalitso Clinic and Inpatient ward, Thandizo Ward. In addition, the incumbent may be required to support patient care in Moyo Clinic as needed. The role will involve working day, evening, and weekend shifts, based on the clinic’s operational needs.

Key duties and responsibilities
• Serve as a medical resource for the organisation, with a particular focus on supporting the clinical team.
• Monitor and provide general care to both inpatients and outpatients, fostering a climate of trust, empathy, and compassion.
• Maintain accurate and detailed records of patients’ medical histories, diagnoses, and treatments.
• Stay current with medical developments and best practices through reading, research, and attending relevant trainings.
• Conduct thorough examinations and evaluate patients’ symptoms to determine appropriate diagnoses.

With a Program Award under Cooperative Agreement No: 72061221CA00010 “Client-Oriented Response for HIV Epidemic Control (CORE -1) Activity Component One (1)” by the United States of America PEPFAR through USAID, PIH supports HIV Care and Treatment implementation in 123 Ministry of Health, CHAM and Private health facilities in 9 districts across Malawi (Mulanje, Chikwawa, Lilongwe Nsanje, Dowa, Kasungu, Nkhotakota, Karonga, and Chitipa. Under the CORE 1 Cooperative Agreement, PIH is seeking to recruit a highly motivated Administration Manager.

1. ADMINSTRATION MANAGER 1 POSITION

Location: Lilongwe (PIH Central Office)
Reports to: Director of Operations
Primary Responsibilities
Overview:
The Administration Manager will lead and oversee the administration support to programs and the medical center, ensuring efficient support to project implementation through strategic planning, compliance with donor and organizational regulations, effective asset and inventory management, and general administrative services. The role requires close coordination with Procurement, Finance, Programs, HR, and IT departments to ensure seamless operations in support of USAID-funded initiatives and other programs.

Responsibilities:
Key Responsibilities:

1. Planning & Coordination
• Support program leadership in the development, expression, and implementation of project work plans.
• Coordinate with Admin teams to establish priorities for administrative and logistical support to programs and implementation science units.
• Oversee the organization of program-related events such as meetings, trainings, and conferences, ensuring logistical arrangements (venues, materials, per diems, transport, accommodation) are well managed.

2. Compliance & Operational Integrity
• Coordinate international travel logistics, including bookings, visas, per diems, and accommodations.
• Ensure all financial transactions and payments for program activities adhere to USAID, other donors and PIH regulations.
• Collaborate with Procurement and Finance teams to ensure smooth processes for procurement, financial accountability, and use of office and program support resources.
• Monitor and enforce timely submission of activity liquidations to Finance by Admin Officers in line with Grants & Finance policy.
• Ensure Admin support staff assigned to program units deliver timely and effective support.

3. Asset and Inventory Management
• Oversee the Stores function and the distribution of supplies to Central and District Offices.
• Plan and manage asset verification exercises across all PIH locations in line with organizational policy.
• Ensure proper documentation and reporting on inventory status, asset movements, and disposals.

4. HR Administrative Support
• Liaise with the HR Office on administrative tasks related to payroll, particularly overtime verification.
• Participate in staff recruitment processes as required, especially for Admin or support positions.
• Support head count tasks at field level

5. General Administration Oversight
• Maintain an up-to-date Staff Master List and ensure effective communication (e.g., circulation of meeting minutes).
• Supervise timely processing of supplier/service provider invoices related to admin functions (meals, accommodation, travel, airtime, etc.).
• Manage the reception area to ensure a professional and welcoming environment for visitors and stakeholders.

6. Reporting and Documentation
• Ensure the Admin team facilitates timely and accurate collection of activity and training reports.
• Support the documentation and archiving of administrative records.

7. Representation and Collaboration
• Represent the Administration Unit in PIH meetings (Administration, HR, Finance).
• Participate in cross-functional meetings or tasks as assigned by the Director of Operations.

Required Qualifications:
• Degree in Business Administration
• Minimum of 3 years’ management experience
• Demonstrated expertise working in a leadership capacity with international donors
• Demonstrated strong management, coordination, teamwork and planning skills with proven ability to function effectively in the NGO sectors
• Computer skills – minimum of Microsoft Word, PowerPoint presentation, and Excel
• Previous direct supervisory experience of professional and support staff
• Ability to work in a complex environment with multiple projects/tasks, short deadlines, competing deadlines and intense pressure
• Awareness of, sensitivity to, and experience in working in multiple socio-economic settings and with multi-cultural staff and groups
