JOB OVERVIEW:
The Executive Assistant to the President provides high-level administrative support to the President and ensures the smooth operation of the President's office. This position requires excellent organizational skills, discretion, and the ability to manage multiple tasks simultaneously. The Executive Assistant will serve as the point of contact between the President and both internal and external stakeholders, and will handle a wide variety of administrative and executive tasks, ranging from calendar management and travel coordination to communications and project management.
KEY RESPONSIBILITIES:
Calendar and Schedule Management
- Manage and maintain the President’s calendar, ensuring efficient time management and prioritization of appointments and meetings.
- Coordinate and schedule both internal and external meetings, ensuring all necessary materials and agendas are prepared in advance.
- Handle complex scheduling conflicts and time-sensitive changes, ensuring smooth daily operations.
Communication and Correspondence
- Serve as the primary point of contact for internal and external communications on behalf of the President.
- Draft, proofread, and edit correspondence, reports, and presentations.
- Screen and prioritize incoming calls, emails, and requests, ensuring timely responses and appropriate follow-ups.
Travel and Event Coordination
- Plan and coordinate all aspects of the President’s travel arrangements, including flights, accommodations, and transportation.
- Prepare detailed itineraries and ensure travel logistics are executed seamlessly.
- Assist with organizing events, meetings, conferences, and public appearances involving the President.
Document Management and Record Keeping
- Organize and maintain both physical and electronic filing systems, ensuring all important documents are easily accessible.
- Prepare briefing materials and ensure the President is fully prepared for meetings, presentations, and events.
- Maintain confidentiality with sensitive or proprietary information.
Project Management and Special Initiatives
- Assist with the planning, implementation, and tracking of key strategic initiatives and projects.
- Coordinate cross-functional teams and support the ex*****on of time-sensitive assignments.
- Track and follow up on action items, ensuring that deadlines are met.
Relationship Management
- Cultivate and maintain positive relationships with key internal stakeholders, board members, clients, and partners.
- Handle sensitive issues and confidential matters with discretion and professionalism.
- Act as a liaison between the President and various departments, ensuring alignment and timely communication.
Administrative Support
- Prepare reports, presentations, and other documents for meetings, including board meetings and investor relations updates.
- Assist with preparing budgets and managing expenses related to the President’s office.
- Handle ad-hoc administrative tasks as needed.
REQUIRED SKILLS AND QUALIFICATIONS:
Education:
- Bachelor's degree in Business Administration, Communications, or a related field (preferred).
Experience:
- At least 2+ years of experience in an executive support role, ideally within a corporate or nonprofit environment.
- Proven experience supporting C-suite executives, particularly in a fast-paced, high-level environment.
- Strong project management experience with an ability to handle multiple tasks simultaneously.
Skills:
- Exceptional written and verbal communication skills.
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), project management tools, and general office software.
- Strong organizational and time-management skills, with a keen eye for detail.
- Ability to maintain confidentiality and exercise sound judgment in sensitive situations.
- Professional demeanor with a proactive, positive attitude.
- High level of discretion and the ability to manage confidential information.
