If you walked into your staff meeting tomorrow and asked:

👉 How many new patients did we get last week?
👉 How many came from marketing?
👉 How many actually arrived?

Would anyone have the answer?

If not, you’re running blind.

The Weekly Stat Sheet that I've used in my own clinics for years fixes that.

I'd love to give it to you for free, get your copy here: https://ptclinicmetrics.com/clinic-stat-sheet

Most clinic owners think their only problem is “not enough leads.”

But here’s the reality: there are actually 3 gaps that hold practices back:

1️⃣ Not enough leads → a marketing problem
2️⃣ Not knowing if those leads are profitable → a metrics problem
3️⃣ Leads not converting or dropping off → a sales/front desk problem

Most clinics only focus on the first gap. But it’s the other two that quietly drain your time, money, and energy.

When you look at the full patient journey — marketing → metrics → sales — you start to see where the real leaks are.

👉 Which of these 3 gaps is the biggest issue in your clinic right now?

If you’re not sure where your biggest leak is, start with the numbers. I put together a free Stat Sheet you can download here: https://ptclinicmetrics.com/clinic-stat-sheet . It’ll show you exactly where to look.

And if you want to fix what happens after the phone rings, check out Jerry Durham He’s been helping clinics train their front desk teams for years — this is his wheelhouse.

Here’s how revenue leaks in most clinics:

=> Marketing spends money to bring in leads.

=> The front desk misses calls or doesn’t convert them.

=> Nobody tracks the numbers, so nobody sees the leak.

By the end of the month, the owner just says, “Our ads didn’t work.”

The truth is, the marketing might have worked fine — you just don’t know because you’re not tracking.

The Weekly Stat Sheet fixes that. It shows you where the leads came from, what happened to them, and whether the spend was worth it.

It's the same sheet that I use in my clinics every week and I'm sharing it with you for FREE!

Most PT clinics lose 10% of their revenue to billing errors.

And nope, that’s not a typo. 10%.!!

It’s not just about codes and reimbursements. It’s about money you’ve already earned that never makes it to your bank account.

That’s why I put together a free guide: “Is Your Billing Company Losing You Money?”
It breaks down the biggest mistakes and what to look for so you stop leaving cash on the table.

When I talk to clinic owners about their marketing, they usually say the same thing: “We just need more leads.”

But here’s the thing… more leads won’t fix a broken system.

Jerry Durham — who’s listened to thousands of front desk calls over the years — says it best:

“Most front desk calls sound like a transaction. That’s why your ads aren’t profitable.”

And he’s right. You can pour money into ads, but if the first call goes like this:

👉 “Do you take my insurance?”
👉 “Yes, what’s your date of birth?”
👉 “Okay, thanks.”

……And that's it. Straight to scheduling.

No connection or value built... you become a commodity. You're likely going to get no shows, OR you won't stand out therefore no referrals and leads who continue to return to you again and again.

The truth is simple:
• Marketing creates leads
• Metrics show you if they’re working
• Sales (the front desk) turns them into patients

Miss one piece, and the whole system leaks.

Where do you see the biggest leak in your system — marketing, metrics, or front desk? If you want a clear picture of what's working and what's not in your practice, we can take a look together on a free strategy call, click here to book a time, I look forward to connecting:

Early in my career as a clinic owner, I only looked at numbers once a month — when reports came in.

By then, it was too late.

Payroll was already due.

Billing issues had already compounded.

Opportunities to correct course were already gone.

The turning point for me was switching to weekly tracking. Looking at just three numbers every week gave me clarity I never had before:

Patient visits → are we growing or shrinking?

Average $/visit → are we getting paid what we should?

Payer mix → are we balanced, or relying too heavily on low payers?

This simple habit helped me spot problems early, make better decisions, and finally feel in control of my business.

📊 That’s why I created a free Clinic Stat Sheet — so other PT owners don’t have to learn this lesson the hard way!!

When I first started out, I thought the goal was to keep the schedule full.

More visits, more revenue… right?

What I didn’t realize is that revenue only tells half the story.

Your Profit & Loss statement shows the other half — and it’s the half that determines whether you’re truly building something sustainable.

Profit is what lets you grow, pay yourself, and sleep at night.

📖 I wrote an article breaking down how PT owners can use their P&L to see the real health of their business.

When I first opened my PT clinic, I thought the hardest part would be treating patients and keeping the schedule full.

I was wrong.

The hardest part was realizing that being a great PT didn’t automatically make me a great business owner.

I knew how to rehab a torn ACL… but I didn’t know how to read a P&L.

I could motivate patients… but I didn’t know how to build a budget or forecast cash flow.

And that lack of financial skill nearly cost me everything.

Here’s what I learned:

👉 If you don’t understand your numbers, you’ll always feel like you’re working harder than everyone else… for less.
👉 If you can’t read financial trends, you’ll miss the early warning signs before they become major problems.
👉 If you don’t build confidence with money, you’ll never feel in control of your business (or your future).

Good news is, finance skills aren’t something you either “have” or “don’t have.” They can be learned, just like exercise progressions or manual therapy techniques.

And once you have them, everything changes:

✅ You stop guessing about payroll.
✅ You can plan for growth instead of reacting to problems.
✅ You can finally pay yourself with confidence.

📖 I wrote an article about the specific financial skills PT owners need most — and how to start building them today.

You can read it here:

Early in my career, I thought growth meant “see more patients.”

But I learned the hard way - you can’t grow what you’re not tracking.

Most PT owners don’t realize their biggest leaks aren’t in patient volume... they’re in no-shows, payer mix, and revenue per visit.

When you track these numbers, you stop guessing… and start making better decisions.

Most PT owners don’t realize how much small billing issues are costing them.

A claim gets denied here and there. It doesn’t feel like a big deal… until you look at the numbers.
Even a 2% denial rate can add up to tens of thousands of dollars a year.

That’s payroll. That’s new equipment. That’s the owner’s take-home pay. Gone.

The fix? Regular billing audits and tighter processes.

It’s not complicated — but most clinics don’t know where to start.

Most PT clinic owners don’t realize they’re leaving money on the table every single month.
Not because they’re not busy… not because patients aren’t paying… but because of billing errors.

Here’s the kicker — the average clinic loses up to 10% of revenue to mistakes that are 100% preventable.

It’s things like:
- Claims denied and never followed up
- Missed charges for services actually provided
- Coding errors that repeat over and over

It doesn’t sound like much until you do the math.

10% of revenue is payroll. It’s new equipment. It’s your take-home pay.
