A successful candidate for the Refill Specialist position will be a dynamic, detailed-oriented, organized individual. This position requires strong, exception customer service skills with proper phone etiquette. Our Refill Specialist position requires an individual that is able to multi-task with the ability to manage a heavy call volume. As our refill specialist, you will be contacting our patients to facilitate the delivery of their monthly medical supplies as well as working directly with physicians and their staff to perform the necessary steps to properly process their orders. You will also serve as a support and relief to the remainder of the Client Services with tasks including not limited to Referral Intake, Hospital Orders, and Referral Follow-Ups. You will be required to handle a range of task under pressure as this is a fast-pace environment but much detail is still required. The ideal candidate will be organized, self-motivated, detailed-oriented and exercise great judgment. Key Responsibilities:
• Directly contacting patients to facilitate deliveries within 28-30 days from their last date of service
• Working directly with patients and their doctors and clinic to ensure updated orders are maintained
• Preparing Detailed Physician Orders to ensure we are compliant with all requirements set forth by the insurance company to dispense patients’ medical supplies and/or equipment
• Sustaining the Refill Call Queue to ensure calls are answered in a timely manner and not abandoned
• Serve as support to our Client Services Team as needed (Training in each department will be provided)
• Perform key administrative duties including telephone coverage and faxes as necessary
• Confidentially handle day to day operations and tasks in a fast-paced environment
• Other duties as assigned
Experience and Skill Requirements:
• Positive attitude and professionalism are required
• High school diploma required. College degree is preferred but not required.
• Exceptional time management and prioritizing abilities
• Responds quickly and appropriately in situations with ability to work effectively as a team member
• Ability to constantly adapt to the changes that takes place in a Healthcare based work environment
• Bilingual in English/Spanish is preferred but not required
• Must be skilled in Microsoft Office software, experience with Brightree is preferred (not required)
• Effective communication skills for accurate, concise and organized oral and written presentation and reports to patient and staff.
• Good interpersonal skills and ability to build professional relationships with physicians, referral sources, therapists and patients.
• Extremely self-sufficient and motivated with a strong ability to multi-task in a busy environment is required.
• Shifts: Monday-Saturday 11am-5pm, Monday-Friday 8:30am-5:30pm with every other Saturday 8am-5pm; part time positions available with flexibility Monday-Saturday 8am-5pm, at least 2 Saturdays a month is required for all shifts
• Rate: $13-$15/hour, based on skills and experience
