Sometimes, when you’re just starting a business, you don’t have a big payroll budget to hire employees. But in order to grow your business, you’ll need help to offset your own workload! 🙌🏾​​​​​​​​
​​​​​​​​
Don’t worry- Here are my tips and tricks to get you started (on a budget!) ​​​​​​​​
​​​​​​​​
1. Look for interns in your industry at a local college in your state. ​​​​​​​​
2. Start with an independent contractor (freelancers) on 1099, so you don't have to pay taxes, employee benefits, or provide the equipment. Ensure this person has the right experience and is set up with the correct equipment to perform the job. Look for someone wanting part-time work. ​​​​​​​​
3. Look for partnerships with someone interested in a medical billing business who can provide funding to cover the cost to hire employees. Share your visions and aspirations of the company. My first office manager accepted a lower salary because I explained my vision to her. ​​​​​​​​
4. Look for start-up grants. There's a program called FAIM that helps start-up businesses with funding. Check and see if they offer it in your area.​​​​​​​​
5. Use your tax return to invest in your business.​​​​​​​​

There are many PMS systems, but the most used are (1) Cloud-based with a monthly fee, or (2) Purchase the system outright and own the license to the software.​​​​​​​​
​​​​​​​​
The startup cost to purchase PMS can range from $1,500 to $25,000 (or even more), and cloud-based monthly fees are generally $250-$500. ​​​​​​​​
Make sure training comes with the PMS. If so, see if there is an extra cost, or included in the quoted price (also, ask about training videos- they’re usually free!).​​​​​​​​
Check if PMS has an annual update charge, as well as if the update is mandatory or optional. Know your recurring fees before you buy!​​​​​​​​
Make sure the PMS is compatible with the CH (some don’t work together, so be specific!)​​​​​​​​
CH user account: How many claims are included with the monthly fee? What is the overage fee if you go over the monthly claim volume?​​​​​​​​
Ask the Clearing House to give you a list of additional fees not included in the monthly claim charge. Ie Statements, eligibility/VOB, drop to paper claims, etc. ​​​​​​​​

BONUS TIP: I bill my clients the CH fees; These are operating expenses on behalf of their business, so don’t be afraid to include that into their bill. ​​​​​​​​

Professionalism: They want to hire a professional, so make sure you present yourself as one! You know you are, but they must be able to see it too.​​​​​​​​
​​​​​​​​
Customer Service: Clients need to feel appreciated and understood. Return calls and emails as soon as you can and remember that you know more about your business than they do, so be patient! ​​​​​​​​
Website/social media: These are your virtual storefronts. If your online presence doesn’t stand out, you’re losing out! Clients need a way to find you and see who you are! So put your best foot forward.​​​​​​​​
​​​​​​​​
Your business isn’t registered or protected. This is IMPORTANT! I offer an in-depth look at how to do this the RIGHT way.​​​​​​​​
You’re not offering the RIGHT services for your niche. You could be offering the coolest things, but if they aren’t what your clients NEED, then they’re going to find what they need somewhere else. ​​​​​​​​

Consistency and follow-up. Make sure that your clients can rely on you. Follow up on emails, calls, and projects. Become their go-to person!​​​​​​​​

Marketing Campaigns: Create an email, sales letter, or postcard introducing your business. Introduce yourself, talk about pain points they could be experiencing (high employee turnover, losing out on revenue, etc.), and then tell them what services YOU offer that can help THEM solve those issues. Craigslist/Indeed: Search Craigslist and Indeed for job postings in medical billing, and research those private practices. Contact them and convince the doctors why they should hire YOUR company instead! (I got several high-paying clients this way!) ⠀⠀⠀⠀⠀⠀⠀⠀⠀
⠀⠀⠀⠀⠀⠀⠀⠀⠀
Cold Calling: Cold calling was terrifying in the beginning. When I pushed through, I realized that it’s a great tool, and has become my go-to. Create scripts based on what the doctors could be experiencing in their specialty/industry and speak to that. Do your research and speak confidently!⠀⠀⠀⠀⠀⠀⠀⠀⠀
⠀⠀⠀⠀⠀⠀⠀⠀⠀
Driving for Prospects: Narrow down your target audience, then take a drive! Look for them in the 5–10-mile radius and create a leads list (which you can then call, email, or follow the next strategy!).⠀⠀⠀⠀⠀⠀⠀⠀⠀

Introduction Drop-offs: When you find a business that you’re interested in, stop by, and introduce yourself. You can make a personal connection with the office manager or personnel (they’re the gatekeepers!) and put a face to a name. Leave your business card, or flyer, and let them know about any promotions you have going on. ⠀⠀⠀⠀⠀⠀⠀⠀⠀
