We are looking for a warm, organized, and highly personable New Patient Concierge to be the first impression of our practice.
This role is all about creating an elevated, seamless, and welcoming experience for every new patient—from first contact to first appointment and beyond.
This person will play a key role in helping patients feel confident, informed, and excited about their smile journey.
Key Responsibilities
✨ Patient Experience & First Impressions
Answer incoming calls, texts, and online inquiries from new patients
Provide a welcoming, high-touch experience from the very first interaction
Guide patients through services, scheduling, and what to expect
Ensure every patient feels seen, heard, and cared for
📞 Scheduling & Case Coordination Support
Schedule new patient appointments efficiently
Help manage cosmetic consult flow (especially veneers, full-mouth, aligners)
Coordinate virtual consults and follow-ups
Maintain organized patient communication and notes
💬 Relationship Building
Build trust and rapport with patients (especially those considering cosmetic treatment)
Follow up with leads who haven’t scheduled yet
Help patients overcome common hesitations (time, fear, uncertainty—without being salesy)
🧠 Administrative + Systems Support
Keep CRM/patient management system updated
Track new patient inquiries and conversions
Assist with reporting on new patient flow and trends
🏡 Friday Remote Role (8–12)
Respond to missed calls, voicemails, texts, and online inquiries
Confirm upcoming appointments
Re-engage unscheduled leads
