The dental receptionist is the first contact point for patients and visitors to our office. At all times the receptionist should command a professional, friendly and polite manner. As part of the dental team, the receptionist's role is to assist in the smooth and efficient running of the practice, to adhere to the protocols at all times in line with the company strategy, goals, and values.
Responsibilities:
Greet and care for all patients and visitors to the practice in a polite and courteous manner at all times.
Deal with all inquiries both in person and on the telephone in a polite and professional manner.
Always be aware of patient confidentiality and date protection.
Inform doctor/hygienist of patient arrival.
Book appropriate appointments.
Gather and accurately record insurance and patient information. Making sure all information and forms are up to date.
See that records are stored securely and handled in compliance with HIPAA privacy and security regulations.
Scan all necessary completed, signed and dated information into each patient's chart.
Provide courtesy calls and send out appointment reminders to patients.
Be fully conversant with all emergency and evacuation procedures.
Ensure all monies are collected from patients at the time of treatment.
Prepare financial treatment plans and present plan options to patients.
Submitting insurance claims daily with appropriate required information.
Submit treatment plans for predetermination of benefits.
Prepare billing statements promptly and accurately mail.
Post checks received daily.
Follow up insurance claims.
Follow up on delinquent accounts.
Collect electronic insurance payments, post to accounts, and save EOB to each patient's account.
Scan EOBs into appropriate patient charts and submit any necessary secondary insurance claim for payment.
Ensure that the reception area is clean and tidy at all times.
