Position Summary:
The Scheduler Receptionist is a member of the Support Staff team who, along with all coworkers, provides exceptional service and quality hearing care to individuals and families. Daily duties include, but are not limited to, answering phones, calling on insurance, patient registration, scheduling, cashiering, and data entry. Responsibilities will be accomplished following our core values and procedures. This position requires advanced Microsoft Office and PC skills, accurate data entry skills, and excellent customer service and communication skills. With the high volume of calls and varying patient and staff needs, the ideal candidate must be flexible, be able to multitask, be optimistic, and enjoy working for and with others.
Essential Functions:
• Adhere to all privacy and security rules (HIPAA)
• Manage a high volume of incoming and outgoing calls
• Scheduling for a minimum of 5 audiologists and 1 audiology assistant for multiple Centers
• Prepare superbills and day sheets for clinicians
• Manage all aspects of incoming referrals, including scheduling appropriate appointments based on physician recommendations
• Provide proper patient instructions, pre-register patients, obtain and validate demographic insurance information
• Cashier and balance end of day reports
• Accurately edit and prepare all of the Centers internally generated documents to be sent out
• Accurately update registration information including insurance coverage
• Consistently make chart notes after interactions with patients
• Scan and file patient paperwork
• Data entry and reporting
• Ensure the best patient experience every time
Qualifications:
• 1-2 years of experience in a healthcare setting, preferably patient scheduling and registration
• Understanding of patient registration, referrals, and recalls
• Comprehensive knowledge of patient insurance process for obtaining eligibility and benefits verification
• Highly proficient with Microsoft Office applications, 365, Teams, internet, email, and standard office equipment
• Excellent communication skills, both oral and written
• Experience with cash handling and point of sale software
• Knowledge of FileMaker Pro or Epic helpful

Work Environment and Physical Demands:
Primarily sedentary work in a healthcare office environment with regular use of the computer, telephone, and other office equipment. Noise level is conversational to moderate. Demands include the ability to view and enter data on a computer screen for long periods of time; continuous speech communication and hearing on the telephone; and visual and auditory abilities to effectively respond to patient needs. Must be able to lift and carry supplies weighing up to 30 pounds. May also require standing, bending, leaning, and walking. Constance Brown Hearing Centers is open Monday through Thursday from 7 am – 6 pm. Some workdays may exceed 10 hours. Starting January 2023, daily operations will change, including a Monday through Friday workday.
