HELP WANTED: Admissions & Collections Coordinator

Position Overview
The Admissions & Collections Coordinator plays a key role in managing the resident onboarding process while ensuring financial accuracy and strong collection practices. This position works closely with residents, families, hospitals, and internal staff to support smooth admissions and timely reimbursement.
Key Responsibilities
Admissions Responsibilities:
• • Coordinate the entire admissions process from referral to arrival.
• • Communicate with hospitals, discharge planners, families, and referral partners.
• • Verify insurance, benefits, eligibility, and payor sources prior to admission.
• • Ensure all admission documents, consents, and financial agreements are completed.
• • Maintain accurate census, referral logs, and admissions records.
• • Collaborate with internal departments to prepare for resident move-ins.
• • Provide excellent customer service throughout the admissions journey.
Collections Responsibilities:
• • Manage collections for Private Pay, Medicare, Medicaid, Medicaid Pending, Managed Care, and Insurance.
• • Monitor aging reports and follow up on overdue balances.
• • Track Medicaid applications, return codes, spend-downs, and missing documents.
• • Communicate with residents, families, case managers, and payors regarding account status.
• • Work with the Business Office to ensure complete and accurate financial information at admission.
• • Resolve discrepancies, prevent write-offs, and ensure timely reimbursement.
• • Maintain organized and accurate financial documentation.
Qualifications
• • Experience in healthcare admissions, billing, business office operations, or collections (SNF preferred).
• • Strong communication and customer-service skills.
• • Ability to multitask in a fast-paced environment.
• • Knowledge of Medicaid/Medicare preferred.
• • Organized, detail-oriented, and able to work with sensitive financial information.
