Responsibilities:
Responsible for client relations and front desk operations for parents and client check-in.
Answers phone calls, text messages and replies to voicemails within 24 hours
Manages day-to-day operations and procedures
Maintains positive working relationships and open communication with billing company, physician offices, schools and insurance companies
Manages scheduling process
Assists therapists with client equipment & materials prep, cleaning and directly assisting or monitoring clients as directed
Manages new client paperwork and assists clients with onboarding process as needed
Monitors inventory and orders/picks up at the request of Business Manager
Manages all aspects of EMR system, becomes an expert for therapists to go to for assistance in conjunction with lead therapists
Maintains deadline schedule for therapists for necessary paperwork.
Processes, sorts and routes incoming/outgoing mail, email and faxes
Maintains a safe and clean environment by organizing and sanitizing equipment
Performs other administrative duties as assigned including but not limited to: filing, sorting, updating records, data entry, ordering and competitive research.
Assists with orientation of Volunteers and non-therapy related projects
Maintains/assists with HIPPA laws, privacy and cybersecurity
Assists with marketing, events and more as needed.
Reports to: Business Manager and Director
Qualifications:
Bachelor’s or Associates Degree highly recommended
3-5 years of relevant office experience required including 1-3 years medical office experience required
Experience with typical and or special needs children and parents required
Outstanding organizational skills and strong attention to detail.
Ability to manage time effectively and prioritize tasks appropriately
Excellent communication and interpersonal skills
Committed to providing exceptional customer service
Proficient computer skills and able to operate general office equipment (printer, fax etc.) required
CPR certification required
Live Scan required
Ability to follow all clinic COVID policies including masks, vaccinations, testing, safety cleaning measures
Proficient in Microsoft Office 365 required
Proficient in Quickbooks,Vonage, Fusion EMR preferred, but not required
Availability:
Hours vary. Must be flexible between:
Monday through Friday 8:00a.m. - 6:00 p.m. .
Compensation:
$_20_/hr negotiable
