Hart Medical Transcription utilizes Internet based HIPAA compliant technology. You may choose to access our phone-in dictation server or upload voice files recorded by a handheld device. Our phone-in dictation system
is simple to use, and can be accessed using any telephone 24 hours a day, 7 days a week (we encourage physicians not to use cellular phones due to clarity issues). FTP access for uploading voice files does require the purchase of interface software. We will help you get you set up with either method of dictating. Print ready dictation is delivered to your practice the following day utilizing a HIPPA secure method of your choice, e-mail attached transmission or retrieval from our secure FTP site. Transcribed documents are formatted to your specifications and, if desired, your letterhead can be incorporated into the file. We provide a daily batch sheet detailing patient names and dates of service for reconciliation convenience. We provide storage of transcribed dictation for a period of at least one year. Pricing for services--
There are no "hidden costs" involved in our pricing structure; Hart Medical Transcription invoices utilizing the gross line counting method. We define a line as formulated on 10 cpi (characters per inch) print with a minimum of one inch left and right margins. Your specific formats and fonts do not affect the count, as a computer program counts lines as specified. Invoicing details a breakdown of lines per day per physician. Our proposed per line rate for your practice would be 12 cents per line. STAT dictation is generally at no additional charge; however excessive use of this feature may result in an additional charge. Turnaround--
Dictation which is called into our system prior to 5:00 p.m. or voice files uploaded to our secure ftp site by 5:00 p.m. are available for printing no later than 5:00 p.m. the following day. More often than not we are able to have files available between 10:00 a.m. and 3:00 p.m. Rather than guarantee an exact turnaround time, we work with each client to establish what time-frame best fits their needs, physician dictating habits being a big factor in determining turnaround. HIPAA Compliancy and Confidentiality--
All transcriptionists affiliated with Hart Medical Transcription operate under HIPAA guidelines. We institute such safeguards as password protection on computers, and affidavits of confidentiality for each transcriptionist are kept on file. All reasonable and appropriate measures are taken to ensure the privacy of patient health information. Why Choose Hart Medical Transcription?
