I know I said earlier in the week that we’d get all the remaining March orders out by the weekend, but the bin below is what we have left. Both Yecy and Alex were out some this week with the “my-kids-went-back-to-school-but-I’m-the-one-who’s-sick” ick, so we didn’t get as much done as I’d hoped. It’s mostly orders with custom die cuts that we have left.

Sarily just left, our system just finished sending out shipping notifications, and the mail carrier is just going to love me tomorrow. 😁

I went through all the remaining March orders earlier in the week to make sure we weren’t missing any, so if you didn’t get a shipping notification yet, don’t worry…it’s on its way. :-)

Hope everyone has a wonderful holiday “official-end-of-summer” weekend. I know how I’ll be laboring! 😂

The gals are rocking it in the cutting room to finish up March’s orders (and I do mean rocking it…Yecy cut over 200 SKU’s yesterday)!

I can’t do anything else with the remaining March orders until Yecy and Alex are done, so I’m on to April.

And in an effort to be more efficient and hopefully get orders out faster, I’m going to try something different for April’s orders and see if I can’t get better at the “touch it once” philosophy instead of bins and bins of partially completed orders sitting around. Hopefully it makes a difference 🤞🏻

We are also changing the way we pack up our orders so that it’s much quicker (and helps with postage costs).

All that to say that we’re plowing away and making progress :-)

Everyone with a March order should receive their shipping notification by Friday (Saturday at the latest).

We’ve been ordering so much paper that our supplier has been having a hard time keeping up with us! Two weeks in a row, I only got half of the paper I was expecting (those pesky “other clients” lol).

That has led to bins of partially filled orders sitting all over the place, waiting for the missing paper to come in. Not exactly the efficient “touch it once” philosophy I’ve been going for, but what’s a gal to do?

We were missing so much paper last week that I told two of our amazing customer volunteers not to even come in to help. The unintended consequences of that were that I spent a glorious Friday night, Saturday and Sunday not working and actually unpacking the house I moved into last November and finally finished fixing my washing machine which hasn’t worked in three weeks. FYI…if you put something in there that was outside and really dirty…you can clog and ruin the drain pump. 😠

We just had 1,874 sheets of paper delivered and I ordered another 682 to be delivered on Thursday 🤞🏻.

I’m hoping we can finish up the rest of the March orders by the end of next week (maybe faster, but I’m giving us a little leeway).

As always, please know that we’re diligently working hard to get caught up (as evidenced by my house over the past seven months) and every single one of us truly appreciates your support and your patience.

For the most part, February orders are finished! Still a few die cuts to make and a few papers being delivered tomorrow and by Friday at the latest, everyone with a February order should have received their shipping confirmation. 🥳

So now it’s back to “not in chronological order” and hopefully the picture below explains why.

See all of those pink pieces of paper? Those are all items that we took the last one of for a February order. There’s 300+ items that we need to replenish.

So, I’m going to be pulling orders that are paper only while I give the cutting room gals some time to catch up. 😀

I’ve spent hours analyzing and sorting our outstanding orders so that we can consistently process and ship, whereas if it was in strict chronological order, there’d be a lag while we replenish our inventory.

So while we’re not going in day-by-day chronological order, rest assured that the priority is always to get the oldest orders out as quickly as possible.

Now…back to shipping before the mail carrier gets here!

HUGE paper delivery to help us get the rest of February orders out the door :-) We’ve also finished all the custom die cuts for February.

I’ve been trying to make it so that everything we need for all the orders is in the place it’s supposed to be, so that pulling an order is a seamless, one-step process instead of “pull what we have and set it to the side until we have the rest of it”, which was happening multiple times for some orders. I’ve always been a huge proponent of the “touch it once” philosophy and we’re way closer to that than we were :-)

The gals in the cutting room have been been sweating their patooties off (we’ve been under heat advisories all week and it is 94° in there during the day) working on getting as much cut as possible as Yecy will be out all next week.

Her high school daughter’s Fine Arts team made Nationals and although it means losing half my cutting team for the week, the opportunity for her to spend this time with her daughter is WAY too important for her to miss.

Based on what’s going on in the comments of my last post, let me try to explain my strategy so that you all can stop speculating :-)

First off, those 209 orders are packed and ready to go, but haven’t been shipped yet. I’m not ready for that much mouse activity yet! The gals will ship them tomorrow. Shipping notifications are emailed after the shipping label is printed, so if you get a shipping notification tomorrow, you’ll know that you were one of the 209 :-)

I added pictures of packing slips for four different February orders. It lists everything in location order so that we know where to find the products for that order.

Locations are as follows:
01 - paper
02 - die cuts
05 - die cut kits

Picture #1 - See the locations that just say 02 and 05? There are a total of 10 items on this order that we have zero quantity on hand and have not cut for the first time yet since the great “location relocation“ project at the end of 2024.

Picture #2 - There are only two items on this order that have zero QOH.

Picture #3 - Just like fabric, carpeting and tile, our paper has dye lots. Sometimes it’s barely noticeable and sometimes you wouldn’t even think you were looking at the same thing. In order to ensure that the paper you order matches dye lots, any quantities of four or more I order specifically from my printer for each order.

Picture #4 - During the great “location relocation“ project, I moved all of our best selling papers to the first 10 paper racks so that I could keep a larger quantity in stock. Chances are high that the first two items in this order are sitting in the paper racks.

Yesterday we pulled orders that needed a quantity of one of items that we have in stock regardless of the date the order was placed.

Next we’re going to work on orders that we have all the items for that I don’t need to specifically order more paper for to ensure the dye lots match.

We’re also going to batch together all the custom die cut orders so that we can be more efficient. For example, the custom baby girl die cut has all the same pieces for each one and only the name is different. So instead of cutting them one by one as we get to each order, we’re going to cut all the custom baby girl die cuts for all of the outstanding orders at once.

As I said when I first explained that we were not going to be going in chronological order, I’ve spent a lot of time thinking about how to balance out older orders with newer orders…smaller orders with larger orders…orders that we have everything for with orders that we have to cut almost everything for…orders that I have all of the paper for with orders that I need to order from the printer, etc.

I know many of you think we should just be going in order so that I can say “We’re on February X and then we’ll move onto February Y” so that you would know your exact place in the “queue”.

But that is not what is best for SYT as a whole and I’m not doing that.

“Why not” you ask?

Because I am in a race to get caught up before I run out of money. A race that was made exponentially worse by having to pick up and move out of our location of 22 years with only 30 days notice, which took every dime I had left to accomplish.

If you look at the comments from all of my posts, there are one after the other of customers saying “I can’t wait until you get caught up so I can place my order!” Our revenue has dropped close to 70% since this debacle began. That is not sustainable in order for us to stay in business.

My two remote employees have seen an almost 75% decrease in their pay for the past 60+ days. It is only because of their loyalty to SYT based on a combined 31 years of employment that their spouses are picking up extra shifts so that they can make their house payments instead of finding another job. Personally, I have only been able to take one paycheck since April (thanks honey for paying my rent 😘)

We would have been caught up by now if we hadn’t had to move. I refuse to believe that the plan of the universe or God or whoever is in charge is to let me/us work this hard and get this far and then fail.

We are working as hard as we can to get through the outstanding orders as quickly and efficiently as we can. And when someone has a “scrapbooking crisis/emergency” we’re doing the best we can to accommodate them. Being nice about it helps :-)

Ever since I discovered the extent of the damage done to my company in my absence, I’ve worked my 🫏 off to fix everything. The last thing I want to do is get all caught up and then end up even further behind then when this started because “Oh! You’re all caught up! Here’s the order I’ve been holding onto for months!“

As long as you know that it might take a little bit, spreading it out over smaller orders would be a lot more helpful to us :-)

The support we’ve received during all of this has been nothing short of phenomenal and I am so grateful to each and every one of you for being such inspirational cheerleaders.

We were taught growing up “If you can’t say something, nice, don’t say anything at all.” If you’ve forgotten how to human and can’t do that, please shop for your scrapbooking supplies at Hobby Lobby.

Ever heard of “mouse arm“? Yeah, me neither. Apparently that’s what happens when you know the ergonomics of the shipping desk suck, but it can’t be THAT bad, right? Wrong!

Our awesome customer turned volunteer turned friend Robar Ryea and I kind of have standing Friday night plans of pizza and working until around midnight.

Friday, June 27th seemed just like a normal Friday night, until I woke up Saturday to discover that I couldn’t stand for more than about 30 seconds without a pain shooting down my right arm that nearly brought me to tears.

So I climbed back into bed until I could be vertical for more than a minute or so…which took until 11 days…and I basically slept the whole time. I didn’t know it was possible for a human being to sleep that much! At least I finally made a dent in my sleep deficit. 😴

When I finally made it back into the office two days ago, the first time I went to do something on the computer, the pain went shooting down my arm again and that’s when I finally figured out what the problem was.

So, after pizza tonight, Sarily helped me figure out a makeshift standing desk until the Amazon Prime Days one shows up on Monday. My “handshake mouse” was delivered today and let me tell you, you can’t even imagine the difference it made! Never once, in all my years of sitting at a desk, have I ever made sure that I was sitting properly with everything adjusted to the right height.

So…I urge you to take a few minutes to fix the ergonomics of whatever desk you sit at…whether it is at work or in your craft room. Your body and your ulnar nerve will thank you!

Now, even though I was out of commission for so long, Alex and Yecy didn’t let a little thing like it being 91° in the cutting room stop them! Not only did they ensure that our 3,700+ SKU’s containing die cuts have inventory on hand, they cut an additional 391 SKU’s we hadn’t gotten to yet!

So, of the 8,524 SKU’S we currently have, we are only out of stock of 158 papers (and that’s only because I wasn’t there to tell John, who works remotely, what to order). That’s an in-stock percentage of 98.15%!

Sometimes, it’s hard to see how far you’ve come until you stop and take a moment and turn around and look over your shoulder at where you were versus where you are.

I’d say an out-of-stock percentage going from 85-90% down to 1.85% is coming pretty far :-)

Sarily graciously offered to spend her Saturday with me so we can see how many orders we can get out the door (and ship the orders that another customer turned volunteer turned friend Yaros Hedges pulled yesterday).

I’ll let you know how many we get through at the end of the day 😀

P.S. I didn’t want to fail to mention the remaining member of our small, but mighty team, our wonderfully creative designer, Tiffany. She has taken on the undesirable task of dealing with the 5% of our customers who insist on telling us how horrible we are and how much they hate us. I’m pleased to finally announce that not only are the remaining January orders out the door…but so is 25% of February! 🥳

I can’t even tell you how many times over the past six weeks of this move I wanted to change my name to Julie Murphy! 😂 I am an optimist by nature and while although I don’t always expect things to go well, I’m pretty confident in my abilities to fix things when they don’t. This move tried to beat that right out of me…but I didn’t let it :-)

There are a few minor issues left to fix…and it is still 91° in the cutting room… but for the most part, we are back to where when we were blissfully ignorant of what was looming on the horizon. 😂

We’re getting ready to kick it into high gear again and go back to what we were doing that allowed us to process an entire months worth of orders in nine days. So, starting next week, we are going to start working in the way that allows us to get the most number of orders out the door in the quickest way possible.

I’ve come up with a plan that will help us accomplish that, but is not going to be a linear process and it is not going to be in chronological order.

And if you feel the need to tell me that I shouldn’t be doing it this way and that I need to send out the oldest orders first, please don’t. 😀

I’ve spent a lot of time thinking about this and I’m doing what’s best for SYT as a whole. We want to be your go-to place for the things that help you “scrap your trip” through life for many more years to come and this is how we’re going to make sure that happens.

We were up to January 18th when we started moving. And while I was working on the mystery boxes, the girls in the cutting room were working on getting everything cut we needed for the remaining January orders.

We finally have the internet working (turns out the metal paper racks were causing massive interference with our WiFi), which means our inventory system and laser cutters are also finally working.

I’m going to finish unpacking and getting the rest of everything organized over the weekend and hope to be back to “normal” by Monday.

And while this unexpected move has caused us to fall even further behind, the good news is that prior to this, we’d gotten everything fixed and our inventory replenished.

I’ve never worked as hard in my life as I have for the past eight months to repair the damage done to my company in my absence. And just as soon as I felt like the worst was behind us, I got the rug pulled out from under me again and we had to move. It took every dime I had, both in the business and personally, but we got it done.

I know many of you are frustrated…and while it isn’t a contest… I guarantee your frustration level pales in comparison to mine.

All we want is to create beautiful products that help you tell the stories of your travels through life. All of us…myself, Tiffany, John, Alex and Yecy…thank you from the bottom of our hearts for sticking with us while we get back to the place where we can make that happen.
