Job Summary:
The Administrative Assistant provides seamless support to the Perception Institute’s Co-Director and a small team of Perception staff. The ideal candidate takes pride in helping to make a team of busy, hard-working people more organized, efficient and effective. From their perch within a small team of creative and dedicated individuals, the Administrative Assistant will have the opportunity to learn and to have a real and immediate impact on the Institute’s work.
This position is part of a fully remote team. The Administrative Assistant must be highly self-motivated and comfortable working independently. Ability to manage a variety of activities, to collaborate effectively in a virtual work setting and to handle confidential matters with discretion are absolute musts.
Candidates in the NYC area are strongly preferred.
Job Responsibilities:
Own the Co-Director’s calendar, coordinating her schedule with a strong understanding of her priorities. This requires proactively addressing competing demands and resolving related conflicts, and taking the lead on communication and follow up with clients and the internal team as needed. A successful Administrative Assistant will approach this proactively, looking ahead on the Co-Director’s calendar to ensure that emerging conflicts are addressed and resolutions are found and communicated in a timely fashion.
Own the Perception Institute workshop calendar, maintaining an up-to-date view of availability for Perception facilitators and managing workshop requests from clients accordingly.
Manage responses to incoming requests from new and potential clients, ensuring that all inquiries receive a timely response. Initiate client intake process and coordinate follow up as needed.
Assist in the preparation of documents and presentations for both internal and external meetings (including copyediting).
Make travel arrangements, coordinating flights, lodging accommodations, and other itinerary specifics.
Develop and drive special projects that help improve the overall administrative and operational functions of the team.
Skills & Qualifications:
2 -3 years experience as an executive assistant or administrative assistant supporting senior leadership is required.
Excellent time management and organizational skills.
Excellent oral and written communication skills.
Strong interpersonal skills.
Discreet, tactful, flexible, and courteous.
Excellent computer and Internet research skills. Familiarity with the Google G-Suite (Gmail, Drive, Docs, Sheets) is a plus.
Ability to work independently. Past experience working in a decentralized organization is a plus.
A sense of humor, flexible nature, and willingness to wear multiple hats.
Interest or experience in social justice or previous experience working at a non-profit organization, a plus.
