✨ Important Office Updates ✨
As our office continues to grow and evolve, we are making a few adjustments to our daily operations. These changes are meant to help us stay organized, on schedule, and able to provide the best care and experience possible for all of our clients. We truly appreciate your understanding and cooperation.
Please review the updates below, which will take effect immediately:
• We will no longer be sending text message confirmations or reminders.
While we have offered text reminders as a courtesy in the past, we’ve found that the response rate has been very low. Because this process requires a significant amount of staff time we can no longer find it feasible to continue with the little response we get in return.
Instead;
• Clients will now receive ONE courtesy phone call reminder prior to their appointment.
Please understand that this phone call is a courtesy only, not a guarantee. There may be days when a reminder call is not possible due to volume, staffing, or time constraints.
You will still continue to get multiple system generated emails about your appointment prior to your appointment.
Not receiving a text reminder does not excuse missed, late, or forgotten appointments. It is ultimately your responsibility to keep up with your appointment date and time.
• We will no longer communicate via text message.
This includes questions, confirmations, scheduling changes, or general inquiries.
If you need assistance, you must call the office.
This allows us to provide accurate information, avoid miscommunication, and maintain proper documentation.
• Our latest telehealth appointment time has moved from 1:00 PM to 2:00 PM.
• If you arrive more than 10 minutes late, you may be required to reschedule, and a late/no-show fee may apply.
This policy exists to respect the time of the provider and the next scheduled client.
• The office will now be closed daily from 1:00 PM – 2:00 PM for lunch. During this time, there will be no walk-ins or any phone calls.
The office will reopen at 2:00 PM.
Here are a few things that aren't changes but things that need to be made aware.
Please do not arrive significantly early and expect to be seen immediately.
For example, if your appointment is scheduled for 10:30 AM, arriving at 9:40 AM does not mean you will be taken early. Doing so disrupts the schedule and impacts clients who are booked appropriately. Our office is only so big and set to hold the amount we book per hour. If you are more than 10 minutes early for your appointment, you may be asked to sit in your car and wait until proper time.
Same-day appointment changes are not permitted.
This includes requests to move your appointment earlier or later on the day you are scheduled. All appointment changes must be made at least two business days prior to your appointment. Please do not call on the day of your appointment asking if we can “fit you in earlier” or adjust the schedule. We are unable to accommodate these requests and failure to show on time will result in having to be rescheduled and a no-show fee will apply.
We kindly ask for your patience and understanding when calling our office. We receive hundreds of phone calls each day, and many of these are repeated calls from the same number within a short period of time.
Please avoid calling back-to-back repeatedly.
If we do not answer right away, it is very likely that we are assisting another client. If your call is not answered, please leave a voicemail with your name and reason for calling. Voicemails are returned in the order they are received as soon as we are able.
Repeated calls do not allow us to respond faster and can actually delay our ability to return calls efficiently. Leaving a voicemail helps us serve everyone more smoothly and fairly.
These policies are in place to ensure fairness, consistency, and respect for everyone’s time, clients and staff alike. We truly appreciate those who arrive on time, follow office policies, and help us maintain a smooth and professional environment.
