We’re looking for a part-time Medical receptionist/office staff, preferably with experience in mental health and/or healthcare/office administration. We need someone who is organized, professional, and motivated, with excellent communication and problem-solving skills, as well as the ability to learn quickly. We are looking for in a candidate with excellent time management, the ability to track large volumes of data, with the ability to adapt to the shifting needs of an office within the day. This is a human service position, and must be able to relate to people and make them feel comfortable. We will consider part time candidates who can commit to at least 2 days a week, but ideal would be available Monday through Thursday to open the clinic. This position also includes work that is eligible to meet hourly patient contact requirements for students in graduate school for counseling, or applying to doctoral or master’s programs in counseling and psychology/social work fields. Supervision for patient contact and counseling/therapy is available as appropriate. As an office administrator, you will be responsible for:
• Greeting patients, checking them in, taking copays, and scheduling appointments in an electronic medical record system.
• Answering the office phone, and documenting thoroughly in the computer system, and communicating with patients and all other parties in a timely and professional manner.
• Ability to communicate with patients in regard to potential safety issues and make decisions about information needing immediate attention from the clinicians.
• Record and verify patient billing accuracy using the electronic billing payments in system, and generate statements when appropriate.
• Coordinating and communicating with insurance companies, clinicians and clients regarding patient benefits and eligibility, which will require strong attention to detail, computer skills, and written communication, internet, scanning, and navigating various computer websites and programs.
• Keeping receipts and financial information organized and up to date in system.
• Keeping patient info up-to-date in our computer system, and documenting changes and setting alerts as they occur.
• Assisting Owner and Clinicians with day-to-day tasks involving clinician contracts, insurance status updates, assessment measures, coordinating care with others offices, and other pressing office related needs, including occasional light housekeeping.
• Upholding and maintaining HIPAA privacy and confidentiality, and staying up to date on related policies in healthcare.
• Conducting yourself professionally and with integrity in speech and behavior, and professional/medical attire.
Experience Preferred:
• Bachelor’s degree in a related field (such as psychology, social work, medical coding, accounting, or computer/business) or
• 2 years of administrative office experience or experience in mental health/healthcare, or Medical billing and coding experience or training
• Strong computer skills, typing, and an excellent understanding of Microsoft Word, Excel , windows related office programs, experience with encrypted email, dropbox and other hippa compliant storage/computer systems
• Insurance verification and knowledge of how to create billing statements
• Must pass fingerprint background check , drug screening, eligible to work with children and seniors
• Willingness to remain up to date with Medicare and CDC health guidelines for work on medical office, including recommended vaccinations, appropriate use of Mask in office, and monitoring and following distancing or isolation restrictions as appropriate.
• Willingness to work from home for brief periods as appropriate in response to changes in COVID precautions.
Compensation and benefits:
• $12-$14/hr based on experience, with a flexible schedule—roughly 20-30 hours a week between the hours of 9:30 AM to 4 some days, and 6 PM other days, Monday, Tuesday, Wednesday and Thursdays. Part time to start but more hours may become available based on office needs. The office is closed on Fridays, weekends and holidays.
