🚨Prevent Timely Filing of Submitted Dental Claims🚨
Important Information:
Just because you press the send button, to send electronic claims to insurances, does not mean the claims actually went via the clearing house to the insurances and will get paid. Often, the issue is that the claims were submitted with incorrect information. If the patient, insurance, or subscriber information is inaccurate, the claim will get rejected by the clearing house. This occurs because the incorrect information does not match up with the insurance carrier database.

If the office is good about following up on unresolved claims, the team will find out why the claim is unresolved, will make corrections, and push the claim to the clearing house. On the other hand, if there is lack of timely submission or follow up action by the office, the claim can reach timely filing. Most insurances give 6 months to 1 year from date of service to submit claims. Once the claim is on file, the insurances give the same time frame to fix any errors. Medicaid allows 3 months from the date of service to submit the claim and another 90 days to fix any errors with claims that are on file.

The team must ensure that the claim was submitted within the time frame allowed for by the plan. Once the claim is on file, the team has to make corrections within a specific time frame to prevent timely filing. Usually, once the claim is on file, the process is on record, so there is more time to fix any errors and the claim does not fall into a timely filing clause denial. Therefore, the most important step is to get that claim on file and then deal with the requests for more information or corrections of errors. The insurances hope that you fail to submit the claims or follow up on time and design plans around clauses such as the timely filing term or requests for additional information. These are nothing but stall tactics used by the insurance company to delay payout.

If the office does not balance their schedule daily or run unsubmitted claims report on a routine basis, it is very easy to fall into timely filing and overlook claims that should have been submitted. If the office does not follow up on claims routinely the claims get abandoned and run into timely filing.

Electronic claim filing allows for a digital track record and date stamps of claim submission. This date stamp is needed to prove that the claim was sent, even if it did not actually make it to the insurance company due to errors. Denials can be reversed if you can prove that you attempted to send the claim and there was an issue with the electronic claim submission. Mailed claims lose this opportunity.

Top 4️⃣ Ways to Avoid Insurance Collections Hassles!!!

a) Preauthorization and confirmation of coverage should be meticulous. If insurance is involved, do not skimp on checking first to see if, and how much, insurance will cover, as well as whether or not insurance is active. You decide what must be done, not them. Then inform the patient so that decisions can be made.

b) Pick your battles. You probably can’t get the companies to move on frequency, but if your practice designated a procedure as necessary, you can win—as long as your documentation is comprehensive. Once you discover how this works with different companies, use this experience to your advantage.

c) Document, document, document… Set standards for solid documentation, complete and accurate recording of patient information, and diligent follow-up. This means more staff workload on the front end but significantly reduces time later on trying to solve problems and deal with denials that might otherwise have been avoided. Be careful collecting patient information and putting it into the software. Keep extensive records of therapy and the rationale, or diagnostic pathway, behind it. Include x-rays and pictures with every submission.

d) Work the system but don’t ‘game’ the system. Understanding the system allows you to avoid pitfalls. If your people work within it, they avoid snags, but if you try to outwit the system, you’ll get burned and make it harder for everyone else. Insurance companies employ experts to figure out what games offices are playing such as overuse of codes, altering the date of service, and more, leading to more regulations and more claims denials. There’s no substitute for being thorough.
