Patient Intake Coordinator / Optical Technician NEEDED.
Our growing eye care practice is looking to add a great team member to our rapidly growing optometric practice, Judson Family Vision Care. We are looking for team members to add for a full-time position, as well as a part time position, with potential advancement to a career opportunity.
Position Summary
We are looking for a great addition to our office family who has a positive attitude, great communication skills and is confident and personable. The ability to work well with others and support them while keeping a professional relationship with all staff is key to success in this position. We are looking for someone who has at least a moderate typing speed and is proficient with standard word processing and spreadsheet software such as Microsoft Word and Excel.
An Optical Technician is an eyewear consultant, educating patients on doctor recommendations that will give them the best possible sight. The eyewear consultant not only advises patients on the best lens options for their prescription, but also creates a fun shopping environment through the selection of fashionable eyewear. The ability to communicate and build long lasting relationships is an important skill required for this position. In addition, the eyewear consultant creates and maintains displays of optical merchandise and inventory within the optical retail areas. This position utilizes both administrative and creative design skills. The administrative skills needed are calculating co-pays based on insurance eligibility and preparing work orders for the optical lab.
Some of your duties will include:
• Answering incoming phone calls.
• Directing calls to appropriate staff.
• Learn and become proficient in our office computer software – Crystal Practice Management.
• Create spreadsheets and write letters for our office as needed.
• Scheduling appointments.
• Greeting and checking in all patients for office appointments including paperwork for patients to fill out, scanning insurance cards, entering all demographic information.
• Ensuring proper flow of patients during all portions of their appointment(s).
• Consistent and punctual attendance is an essential requirement of this position.
• Follows HIPAA guidelines in handling patient information.
• Perform other duties as requested or required by leadership.
Essential Responsibilities
• Assist patients in the selection process of spectacles, providing education on quality choices, lens selection, and frame styling to fit their lifestyle and prescription.
• Calculate insurance co-pay based on insurance eligibility.
• Accurately enter spectacle orders; ensure timely delivery by monitoring status on a daily basis.
• Enter spectacle orders into system, verify order, and notify patients their optical goods have arrived to our office.
• Contact patients for follow up on progress of adapting to dispensed eyewear and prescribed contacts.
• Perform adjustments and repairs when necessary.
• Troubleshoot patient concerns with eyewear when necessary.
• Maintain inventory pertaining to all aspects of the optical retail area, including lab supplies. Report inventory as required.
• Maintain displays of optical merchandise.
• Monitor patient flow throughout the office, properly communicating delays to office manager and patients.
• Consistent and punctual attendance is an essential requirement of this position.
• Follows HIPAA guidelines in handling patient information.
• Perform other duties and assume various responsibilities as determined by the office manager or team lead, and doctor(s).
Supplementary Duties & Responsibilities
Depending upon the patient volume and/or patient flow demands, you may be required to perform the following tasks.
• Assist with patient preliminary testing as required.
• Dispense contact lenses.
• Perform contact lens insertion and removal lessons with contact lens patients.
• Maintain contact lens in-office trial supply.
• Assist with answering the telephone, scheduling appointments, and effectively maintaining appointments books for doctors, as well as assist in completing “recalls.”
• Assist with check out and collection of monies due by patient.
• Identify areas which require additional reinforcement through education or consultation

Judson Family Vision Care is a family owned full-scope optometric practice emphasizing care in pediatrics, vision therapy, sports vision, post-concussion vision syndrome, contact lens, dry eye, as well as diabetic eye care. We take care of patients of all ages starting at 6 months old to 100 years +. We have a fully functioning optical dispensary. Our doctor, Dr. Judson, is a developmental optometrist who is Board Certified in Vision Therapy by the prestigious College of Optometrists in Vision Development (COVD). It is a joy for her when she is able to see her patients thrive in an area that previously caused struggles. Her goal at the end of every visit is that her patients feel comfortable, heard, well-educated, and all visual concerns thoroughly addressed and treated.
