Early in my career as a clinic owner, I only looked at numbers once a month — when reports came in.

By then, it was too late.

Payroll was already due.

Billing issues had already compounded.

Opportunities to correct course were already gone.

The turning point for me was switching to weekly tracking. Looking at just three numbers every week gave me clarity I never had before:

Patient visits → are we growing or shrinking?

Average $/visit → are we getting paid what we should?

Payer mix → are we balanced, or relying too heavily on low payers?

This simple habit helped me spot problems early, make better decisions, and finally feel in control of my business.

📊 That’s why I created a free Clinic Stat Sheet — so other PT owners don’t have to learn this lesson the hard way!!

When I first started out, I thought the goal was to keep the schedule full.

More visits, more revenue… right?

What I didn’t realize is that revenue only tells half the story.

Your Profit & Loss statement shows the other half — and it’s the half that determines whether you’re truly building something sustainable.

Profit is what lets you grow, pay yourself, and sleep at night.

📖 I wrote an article breaking down how PT owners can use their P&L to see the real health of their business.

When I first opened my PT clinic, I thought the hardest part would be treating patients and keeping the schedule full.

I was wrong.

The hardest part was realizing that being a great PT didn’t automatically make me a great business owner.

I knew how to rehab a torn ACL… but I didn’t know how to read a P&L.

I could motivate patients… but I didn’t know how to build a budget or forecast cash flow.

And that lack of financial skill nearly cost me everything.

Here’s what I learned:

👉 If you don’t understand your numbers, you’ll always feel like you’re working harder than everyone else… for less.
👉 If you can’t read financial trends, you’ll miss the early warning signs before they become major problems.
👉 If you don’t build confidence with money, you’ll never feel in control of your business (or your future).

Good news is, finance skills aren’t something you either “have” or “don’t have.” They can be learned, just like exercise progressions or manual therapy techniques.

And once you have them, everything changes:

✅ You stop guessing about payroll.
✅ You can plan for growth instead of reacting to problems.
✅ You can finally pay yourself with confidence.

📖 I wrote an article about the specific financial skills PT owners need most — and how to start building them today.

Early in my career, I thought growth meant “see more patients.”

But I learned the hard way - you can’t grow what you’re not tracking.

Most PT owners don’t realize their biggest leaks aren’t in patient volume... they’re in no-shows, payer mix, and revenue per visit.

When you track these numbers, you stop guessing… and start making better decisions.

Most PT owners don’t realize how much small billing issues are costing them.

A claim gets denied here and there. It doesn’t feel like a big deal… until you look at the numbers.
Even a 2% denial rate can add up to tens of thousands of dollars a year.

That’s payroll. That’s new equipment. That’s the owner’s take-home pay. Gone.

The fix? Regular billing audits and tighter processes.

It’s not complicated — but most clinics don’t know where to start.

Most PT clinic owners don’t realize they’re leaving money on the table every single month.
Not because they’re not busy… not because patients aren’t paying… but because of billing errors.

Here’s the kicker — the average clinic loses up to 10% of revenue to mistakes that are 100% preventable.

It’s things like:
- Claims denied and never followed up
- Missed charges for services actually provided
- Coding errors that repeat over and over

It doesn’t sound like much until you do the math.

10% of revenue is payroll. It’s new equipment. It’s your take-home pay.

Many PT clinics spend on marketing… but don’t know if it’s actually working.

The 3 biggest mistakes I see:
1️⃣ Ads without ROI tracking
2️⃣ Unclear patient messaging
3️⃣ Over-reliance on physician referrals

I wrote an article on how to avoid these pitfalls and start getting consistent results from your marketing.

It’s easy to confuse a busy schedule with success.

But you can’t pay staff (or yourself) with “busy.”

Profit is what keeps your clinic healthy.

I used to think that as long as revenue was coming in, I was doing fine.

But I learned the hard way — revenue isn’t enough.

You can have a packed schedule, a full staff, and patients flowing through the door…

👉 Yet still be stressed about making payroll.
👉 Still feel like there’s never “enough” left over.
👉 Still wonder why your bank account doesn’t match the effort you’re putting in.

Without strong cash flow, your clinic can’t:

- Hire new staff confidently
- Invest in growth opportunities
- Pay you — the owner — consistently

The good news is, you don’t have to overhaul everything.

A few small billing fixes can protect your cash flow and stop the leaks that are quietly draining your clinic.

I put the most important ones inside my free PT Billing Guide.

Most clinic owners only look at their numbers at the end of the month… By then, it’s too late to fix anything.

Tracking just 3 key numbers every week will tell you:

- If you’re on pace to hit your goals
- Where revenue is slipping
- How to fix issues before they snowball

I break it down inside my clinic stat sheet that I use weekly to run my clinics.
