ADMINISTRATIVE/ DATA ENTRY
$10.00-$12.00/Hr.

SUMMARY: This Administrative position is responsible for effectively assisting with the day-to-day operations of several AMS programs/accounts. Assist Account Management with phones, read and respond email along with operational customer service as a liaison between account management and warehouse team. Back-up to Receptionist by assisting with phones, walk-ins, general front desk duties as needed.

DUTIES:
-Represent AMS Fulfillment in all communications with the account management team and possibly client where needed.
-Customer Service phone, email read and respond and
-Interact with operation staff on client specific programs
-Communicate daily requisitions from client to the operations department
-Receive all orders from the client via e-mail and input them into the system or print orders
-Comply with the Company Safety Policy, rules, and regulations
-Back-Up to Receptionist- Answering and directing phone calls, use of paging system
-Revising, Posting, Cancelling and Reprinting of Orders

QUALIFICATIONS:
Minimum one year experience in an office environment

Assistant Purchasing/Billing Clerk

SUMMARY:
Assist in the purchasing of office supplies, warehouse supplies and customer materials.
Assist in the billing of AMS clients.
DUTIES:
Assistant Purchasing Duties:
• Must follow all AMS purchasing guidelines and AMS’s purchasing approval process.
• Review requisition orders to ensure accuracy and correct line item specifications.
• Prepare purchase orders based on approved requisitions.
• Place orders by sending purchase order to vendors.
• Review supply inventory to determine if there are enough items on hand.
• Respond to vendor inquiries by clarifying orders, making changes in requests, delivery requirements and reporting cancellations.
• Contact vendors to ensure they are meeting delivery schedules to avoid missed deliveries.
• Maintain purchasing files, reports and price lists as instructed.
• Conduct regular vendor reviews to ensure AMS is getting the most cost effective supplies.
• Compare multiple vendor bids and pricing with prevailing competitive prices.
Assistant Billing Clerk Duties:
• Attention to details, processes, and procedures are mandatory.
• Run reports by client from InOrder for billing period.
• Run reports by client from Stromberg for billing period.
• Run reports by client from QuickBooks for billing period.
• Update the customer master file with contact information.
• Use Excel billing worksheets to download client information.
• Collect client work orders and additional services documentation to bill clients.
• Work directly with Client Services Account managers to review invoices and bill their clients.
• Work directly with Operations to get information for billing their clients.
• Review invoices with management.
• Send client approved invoices and invoice back-up worksheets to clients.
• Follow-up with written and oral communication with clients regarding billing questions, concerns and payments.
QUALIFICATIONS:
• Microsoft Excel Fluent
• Quick Books Experience a plus
• Detailed Oriented
• Strong Organizational Skills
• Strong Communication – Written and verbal

Data Entry Clerk

SUMMARY: Responsible for accurately receiving and inputting data, as well as providing accurate information upon request.

GENERAL RESPONSIBILITIES:

Accurately enter and balance entry sheet.
Check and review all incoming shipments from vendors or transfers. Check open items before starting any count if any transfers or receipts are open verify that merchandise is physically there and receive them before location freeze is done.
Upload scanners to excel for create entry data.
Fix any problems related to bar codes, incorrect labels or UPC and other problems related to inventory. Work on recoveries, shortages, overages, and item histories.
Process adjustments to variances into Inorder system, after a thorough investigation.
Do random spot checks, investigate any lost merchandise, and validate inventory to be written off and get approval from Supervisor.
Work with the host system to track item history through reporting.
Train new associates with transfer program or any other programs that might be useful for them in the future regarding are program.

REQUIRED SKILLS:

• At least one year experience doing Data Entry both alpha and numeric
• Work well under pressure and in a group
• Be familiar with windows, excel, word, outlook -good computer skills.
• Bilingual - English and Spanish.
• Good communication skills

Receiving Supervisor

SUMMARY:
Responsible for managing all daily activities and transactions related to receiving.

GENERAL DUTIES:

Receiving:
Ensure the scheduling of inbound containers.
Make sure inbound receipts are off loaded, palletized, sorted, scanned, and verified in a timely manner.
Verify all receipts are processed in the warehouse management software.
Establish procedures for efficient receipts of the containers.
Supervise staffing, including flex staffing based on volume on a daily basis.
Manage resources such as pallets, equipment, conveyor, and space.

Requirements/qualifications:
Minimum two years experience with receiving
Must be forklift certified
Experience with Microsoft Windows (Word/ Excel/Outlook).
Experience with mainframe inventory systems. Experience with In Order a plus.
Ability to interface with demanding internal/external customers.
Ability to lift up to 65 lbs.
Willingness to assist in other areas as required.
Good leadership skills
Good Problem solving skills
English required Spanish a plus but not a must
Excellent written and verbal communication skills
High school graduate, college experience a plus

Scanning/Shipping Clerk

SUMMARY:
Responsible for performing daily warehouse activities with use of computer skills for Scanning and Shipping

DUTIES:

• Reports to the Warehouse Supervisor or Operations Manager for daily clerk responsibilities
• Daily computer use for Scanning
• Communicate effectively with Operations or person in charge when job is completed
• Perform housekeeping at the end of each working day
• Maintain working area clean at all times
• Assure that all orders are done by the end of the day
• Perform various tasks in different areas of the warehouse
• Ability to work over time and weekends with short notice

QUALIFICATIONS:

• English speaking, bilingual in Spanish a plus
• Must be able to read and write English
• Basic math skills
• Computer literate
• Able to lift up to 30 lbs.
• Forklift experience a plus
