ACTION REQUIRED: IRS-EFTPS Password
Dear Employer,

The IRS is changing their password requirements for EFTPS which will affect you if you file your federal taxes electronically through QuickBooks Desktop.

On September 19, 2019, the IRS will implement a 13 month expiration policy for EFTPS for those using QuickBooks Desktop to make their federal payments.

To avoid having to change the password at the last minute, we recommend that you log in to EFTPS today and update your password.

If you do not do this before September 19, 2019, and you've had your password for more than 13 months, your payment will be rejected and you will be forced to update it before you can make your payment.

Payroll compliance update:
Revised tax tables
Intuit has released Payroll Update 21710, with revised tax tables. This email also contains information about new federal reporting requirements for payments under health reimbursement arrangement accounts.
Get the Payroll Update
The Payroll Update ensures that you will be in compliance with legislation that affects your payroll. For details on the contents of this update, go to Employees > Get Payroll Updates > Payroll Update Info.
To confirm that you have received the update, open QuickBooks and choose Employeees > Get Payroll Updates. If you don't see a message that says, "You are using tax table version: 21710," click Update. Get complete instructions.
To turn on the automatic updates feature in QuickBooks so that you automatically receive payroll updates when they are released, choose Help > Update QuickBooks. On the Options tab, select Yes for Automatic Update and check the Mark All box to ensure that you receive all updates.
Disk delivery customers: The next disk delivery is not scheduled until the end of June. If you have an Internet connection, we strongly recommend that you download this update now. Follow these instructions.
Reporting requirements for health reimbursement arrangement accounts
Qualifying small employers are now able to reimburse employees for healthcare coverage expenses. For more information on tracking and reporting these payments, please visit our support site.

X owned and operated a taxi business for more than four decades. The IRS determined that some employees were illegal immigrants not authorized to work in the U.S. These workers were paid entirely in cash. The payments were not recorded on company books, and the company did not issue W-2s or withhold and deposit payroll taxes. Employees authorized to work in the U.S. were paid partly in cash, partly by check. The cash payments were kept off the books, and there were no W-2s or withholding for the cash payments. Only noncash payments were included on the 941 and W-2s.

As part of a crackdown on payroll tax violations, the IRS and Department of Justice sought criminal charges against the taxpayer and obtained a plea. In addition to paying back taxes and penalties, the taxpayer will go to jail, then be on probation, then have to pay the cost of his confinement. The company will be on probation for 20 months. Memo on Auto Allowance
February 19, 2017
I was recently asked about how to handle an Auto Allowance for Employee’s and Sub-Contractors. I have checked out the 2017 U.S. Master Tax Guide and with a CPA.
There are only two (2) ways to handle an Auto Allowance. Both ways need mileage and receipts. If you pay a monthly allowance of say $500 without any record keeping on what was actually spent, than the $500 is taxable as wages.
1. The first and best way is to have an Auto Allowance Plan.
a. The company will reimburse for mileage.
i. 2016 mileage rate was $0.54 per mile
b. The company may also reimburse a set amount to cover fixed costs.
2. The second way is No-Plan.
a. The company will reimburse for mileage.
i. 2016 mileage rate was $0.54 per mile
There are other requirements needed for both plans. Please discuss with your CPA or current Payroll Service the correct way to set-up and handle.
