Cottington Woods LARP Cottington Woods 2 is a "dark fairytale" Accelerant LARP, with a prequel in 2021 and Campaign beginni Here things go bump in the night.

Cottington Woods 2 is a "dark fairytale" LARP (Live Action Roleplaying Game) using the Accelerant Rules System and running in MA, with Prequel One-Day events running in Fall 2021, and the main campaign of weekend-long events beginning April 2022 to mid-year 2025 (about 14 full-weekend events). It is "the world of Mother Goose, but also of the Brothers Grimm, with Mary Shelley and a hint of Bram Stoker to keep you on your toes."

CHANGE TO EVENT REGISTRATION & PLAYER CAP POLICY

ANNOUNCING SPRING 1 & 2 EVENT REGISTRATION

Dear players,
This is the message that no game ever wants to write, because no GM likes to turn away players who might be eager to play their game. However, one thing we pride ourselves on at Cottington is our ability to give a personal touch to our game, which becomes increasingly harder with the more players we have. We only have so many staff, so many npcs, and only so much time to write the plot for the game, and we want to be able to continue to deliver the experience that you all love.

We've been absolutely blessed that we have such an awesome and growing player base, and yet at the same time have stayed around 60-65 players attending an event, which is the high end of the sweet spot for being able to keep up that personal touch. However, when we look at the number of "active" players (folks who have played CW2 within the last year at some point) plus the number of new concepts received in the last 2 months (12+), plus the folks who have played CW2 we think might return, we realize that we are starting to get to a number that is beyond our comfort and what we think is a good number to run the game. Not to mention we might run out of beds if all the people expressing interest decide to play in the Spring!

We debated waiting to see if it would be an actual problem come the Spring events, but then decided that if we DID get too many registrations, we would either risk running a sub-par event because we had more players than we can handle (which, you know us, is likely what we'd do and probably burn ourselves out trying to make it amazing), or having to ask people who had signed up and were excited not to attend, and that people would rightfully be upset if it felt like we were changing the rules around event registration at the last minute after they had already gotten excited to play. We decided it was much better to announce a change to our event registration and our Cap Policy, rather than wait. Hopefully, we are worrying over nothing, and every who wants to play will get to play!

We debated first putting a lower PC cap based on NPC numbers, and only raising it if our NPC numbers increased, because we recognize if we have about 20 more players than we presently do without a meaningful increase in NPC numbers, we'd be less able to entertain you all, and the current PC-to-NPC ratio we have is where we'd like to be. We decided instead we'll start with a PC cap, and if NPC numbers in the spring inhibit our ability to entertain you all as well as we'd like, then we might revise this for the fall (setting a lower number and raising as NPC numbers increase). Please encourage your friends to NPC, so that this isn't a concern! :) Likewise, if we get a lot of NPC registrations, we might consider raising our cap. But please do remember that if we get 20 more PCs than we usually do without a corresponding increase in NPC numbers, our ability to reasonably entertain all of you without your aid will be diminished. We'll do our best, trust us we always want to make this amazing for you, but it's just something to keep in mind. :)
To that end, we are announcing that we will cap the total number of players per event at 80 going forward.
Now, we have yet to actually have 80 players at an event, because something always conspires where 10-20 of you cannot make any one given event, but we wanted to put this policy in place now so that if we did exceed the cap, we weren't after the fact introducing a lottery that might make folks upset. Here is our intention going forward:

Event / PC Cap Policy:
1. PC Attendance is capped at 80 players per event.
2. We might consider increasing the cap if we receive enough NPC registrations and/or enough PCs tenting/staying offsite to reasonably accommodate all players in terms of sleeping arrangements and enough NPCs to entertain. As it is, we feel our NPC numbers are a little low for 80 players, if only because we're very used to running with our current ratio.
3. Registration opening for Seasons (Spring 1 & 2, for example) will be announced ahead of time, and will open at the same time.
4. Registration will open first for players who have played within the past year and have attended at least half of all CW2 Events. For the Spring Season, this means anyone who attended Last October (Event 3) through now and has attended 4 or more events.
5. After 1 week, we will open registration to players who have played within the past year. (For Spring Season, this means anyone who attended Last October through now).
6. 1 Week after that, we will open registration to anyone who has ever played CW2.
7. 1 Week after that, we will open registration to new players with an approved concept.
8. 1 Week after that, we will open registration up to anyone.
9. If we receive more registrations in one of the 4 "groups" than we we have remaining space in the event, all registrants in that group will be put into a lottery. We will then draw names, first filling up the cap and then placing people on a waitlist (in order drawn from the lottery). We will do this for each grouping separately, starting with the group where we hit cap first. (For example, if we hit cap in the third group of "has ever played CW2" then, we will enter everyone who registers in that group into a lottery, and they will be registered/placed on waitlist in order drawn. When we then open registration for "has an approved concept" group, they will automatically be placed into a lottery since we are in waitlist, and then added to the waitlist based on their lottery.) If we need to do this for the "anyone" bucket, we will do the lottery 2 weeks after the anyone registration opened, and after that lottery, it will be first come first serve onto the waitlist.
--- If we don't ever hit the PC Cap, then registration is in order folks registered, but still within their grouping.
10. We will no longer offer Early Prereg CP as a result of this new system.
11. Payment is NOT due at the time of registration. Please do not let finances be a reason to or not to register. Payment will be due later, and we'll still offer flexibility for those who need it.
12. You may still register after your group window has ended, you just won't get the benefit of having registered in the earlier grouping.

For Spring 1 (April 19-21) and Spring 2 (May 17-19):
- Registration for BOTH EVENTS will open AT THE SAME TIME
- Players who have played within the past year (from Event 3 on) and have played 4 or more events: Registration will open 11/7 at 8:00pm
- Players who have played within the past year (from Event 3 on): Registration will open 11/14 at 8:00pm
- Players who have ever played: Registration will open 11/21 at 8:00pm
- Players who have an accepted concept: Registration will open at 11/28 at 8:00pm
- All Players can register as of 12/5 at 8:00pm

For NPCs
- You can register as soon as registration opens on 11/7 at 8pm. Please register early! This helps us understand who we will have in the spring for planning plots, but also the PC numbers we can support. Thank you in advance!!
We are opening registrations early because we want to begin planning for the Spring, and knowing who is coming (or who believes they are going to be able to come at this time) is critical for us to plan. Our Spring events only have 26 days between them, and we want to be able to prepare without burning ourselves out as badly as we did this past fall.

We really hate changing dates after having initially finalized them, but the campsite has asked us to move dates as they will no longer be opening as early as they had previously due to cold weather concerns (they incurred burst pipes and other issues last April).

*** As such, our Spring 1 event will be moving to April 19-21, 2024. ***

We expect our 2025 April date to change as well, but are awaiting confirmation from the campsite.

Just a friendly reminder to please make sure you are familiar with our Covid, Masking, and Contagious Illness policies. You can find them here: http://www.cottingtonwoods.com/community.php at the bottom of this post.

We also wanted to make sure everyone is aware that we are moving from the CDC Definition of "Fully Vaccinated" to "Up To Date." If you have not received your updated booster and have either (1) not had covid or (2) your last Covid case was prior to January 7, we are asking you to get your shot ahead of the event. CDC guidelines do allow for delaying a booster shot for 90 days after your last positive test.

The booster must be the updated booster released on September 2, 2022.

We are kindly asking all people to resend their vaccine cards to us for this year. You may email them to vaccinated
@ cottingtonwoods.com. If you would prefer to schedule a time on video chat to show us your card, we can arrange for that as well -- please send a request to the same email.

We would like to remind you that you must fill out a Covid-19 waiver every event (as required by our insurance) here: https://bit.ly/CW2covidwaiver

Finally, while we are not requiring masks at this event at this time, we ask everyone to make sure they bring a mask and recommend masking when in confined spaces.

***COVID-19 Vaccination and Masks & Contagious Illness Policy***

In order to ensure the safety of the Cottington Woods Community, we will require all attendees to our events – PCs, NPCs, and Staff – to provide proof of vaccination against Covid-19. We use the CDC Guidelines on “Up-To-Date with Vaccination,”which includes Recent Eligible Booster.

We will accept photos of your vaccine cards on your phone or other devices to prove vaccination status.

We will provide a means for you to verify your vaccination status ahead of the actual event. This includes but is not limited to:
-- hosting a video chat where you can show a staff member your vaccine card,
-- sending a photo of your card to a designated email address (vaccinated @ cottingtonwoods.com), or
-- showing your card or a photo of your card at check-in at the event.

We will not keep copies of your vaccination card. If sent to us via email, we will delete the email after verifying your vaccination status.

As a reminder, you must be 14 days past your final shot to be considered fully vaccinated.

If you have been exposed to COVID-19 in the past 0-4 days, please do not attend the event, as you will likely not test positive in that timeframe if you have gotten Covid-19. If it has been 5-10 days, and you receive a Negative PCR Test (not a home test), you may attend provided you remain masked at all times.

Based on CDC Guidance, if you have not received the most recent booster, but had a positive Covid-19 test in the 90 days prior to the Sunday of the event, we will accept proof of your Covid Case in lieu of the updated booster. However, you must still provide proof of vaccination.

If you have a medical exception as to why you cannot be vaccinated, we will instead accept:
-- A letter from your doctor explaining you have a medical reason that you cannot take the vaccine. We do not need to know the reason why. We are not medical professionals. We need only confirmation from a medical professional that you cannot be vaccinated.
-- A negative Covid-19 PCR test within 72 hours of the event.

Please note that we will inform our community if we have an individual(s) who have a medical exception. We will not say who it is, but we wish to ensure that the community understands the risk factors involved.

We do reserve the right to require vaccinations and/or boosters for all future events should variants of COVID-19 spread – or any other pandemic occur.

Additional Covid-19 Event Policies:
-- All attendees (PC, NPC, and Staff) must be vaccinated against COVD-19, as noted in the Vaccination Policy guideline above.
-- Medical exceptions will require a doctor’s letter and a negative COVID-19 test, per the guidelines above, and Cottington staff may at any time choose to not allow medical exceptions. We strongly recommend that those who cannot be fully vaccinated not attend for their own safety.

-- Following the recent guideline updates published by the CDC, face masks will be not be required indoors but we encourage everyone to mask when in confined spaces where social distance cannot be maintained. If there is a surge in cases in the region, we reserve the right to require masks in Monster Camp and/or all indoor spaces and will announce at game opening. Masks will be provided for those who may not have them.
-- We kindly ask all participants to take an at-home COVID-19 Test on Friday before coming to the event to confirm a negative test status.
-- Anyone exhibiting any symptoms must wear a mask at all times when indoors and within 6 feet of others. Mask may only be removed to eat or drink and then must be immediately replaced.
-- Extra Masks, medical gloves, hand sanitizer, and disinfectant will be available for those who wish them at Monster Camp.
-- If you have had an exposure within the last 72 hours, we kindly ask you not attend, even if testing negative, due to the risk that you may develop symptoms and be contagious during the event. If you do attend, please remain masked at all times (except for eating and drinking), and please either tent or sleep offsite.

** Changes to Monster Camp Setup to Protect our NPCs: **
In an effort to keep our NPCs, who are in enclosed shared spaces for prep and briefings, and who make use of the same costuming, masks, and makeup, we will be making the following changes to ensure the safety of our NPCs and Staff:
-- Extra Masks, medical gloves, hand sanitizer, and disinfectant will be available.
-- NPCs are encouraged to bring their own makeup if they wish to use makeup for their roles, but CW2 Staff will also provide individual paint trays for NPCs and staff to prevent cross-contamination of makeup supplies between disinfection. Each NPC will have their own makeup cups or trays and makeup applicators for each event. Makeup will no longer be shared.
-- Disinfection of shared costumes, packets, and weapons provided for staff and NPCs.
-- If you have been exposed to COVID-19 in the last 6-10 days, you must obtain a negative COVID-19 test to participate

***Masks and Contagious Illness***

Cottington Woods would like to codify our support of Mask-wearing going forward, to protect yourself and others from the spread of Contagious Illnesses. LARPing typically occurs during flu and cold season, and as we consider the return to LARPing, we also recognize the potential return of “LARP crud” and the spread of contagious illnesses among the LARP community.

If you are sick with a contagious illness, we ask that you do not attend a Cottington Woods event.

If you are at an event, and suspect you are becoming sick and/or exhibit symptoms, we ask that you don a mask that covers mouth and nose to protect others, until such time that you deem you are not ill or you remove yourself from the event.

We recognize that there can be overlapping symptoms between contagious illnesses and non contagious maladies such as allergies. We trust people to act in a manner that is safe and reasonable for their own health and wellbeing as well as the health and wellbeing of those around them in making determinations about whether they are safe to stay at an event or whether to leave early.

We encourage anyone and everyone to wear a mask if you wish to take precautions against getting sick. Use hand sanitizer and regularly wash your hands.

In-Game, not everyone has ready access to a Witch or a Priest, and so it is common in the Written World for those who are ill, or who might be near those who are ill, to wear a mask to protect themselves and others.

Only two weeks away until the Season 1 Opener of Cottington Woods 2! We’re excited to welcome everyone back to the woods, and to see all the exciting new stories we collectively tell in our new campaign.

We’re still happy to have any NPCs for the event, even if only for a few hours, and even if you enjoy fighting or crunching!
