Job Title: Front Office Staff (Part-Time)
Location: Weston, WI
Hours: 20–25 hours per week
Compensation: Hourly, based on experience
About the Role:
We are looking for a compassionate and dependable Front Office Staff member to join our Weston team. This position plays a key role in creating a calm and welcoming atmosphere for clients seeking mental health support. The ideal candidate approaches every interaction with kindness, professionalism, and respect for client confidentiality.
What You’ll Do:
Answer and direct phone calls in a warm, professional, and trauma-informed manner.
Schedule and confirm client appointments using our electronic health record (EHR) system.
Greet clients upon arrival and ensure a comfortable and supportive check-in process.
Collect payments, issue receipts, and accurately record transactions.
Manage client accounts, including:
Contacting clients regarding past-due balances with empathy and professionalism.
Setting up and documenting payment arrangements.
Sending monthly statements.
Working with clinicians and business managers to determine next steps for overdue accounts.
Maintain strict confidentiality and adhere to HIPAA and agency policies at all times.
Provide administrative support to clinicians and the business office as needed to ensure smooth daily operations.
What We’re Looking For:
Previous experience in a healthcare, mental health, or administrative office setting preferred.
Familiarity with electronic health record (EHR) systems.
Strong communication and interpersonal skills.
Ability to maintain composure and compassion in sensitive or emotionally charged situations.
Detail-oriented, organized, and comfortable multitasking.
Proficient with Microsoft Office and general computer applications.
Work Environment:
