If your clinical notes were read in a complaint tomorrow… would they protect you?

Veterinarians are facing a major shift — and it’s happening quietly, inside our clinical records.

What used to be “for internal use only” is now:

✔️ Accessible to clients
✔️ Requested by insurers
✔️ Shared between colleagues
✔️ Used in complaints and legal matters

In both South Africa and Australia, data protection laws have reframed clinical notes as regulated personal information. That means our documentation needs to be clear, factual, and ready for scrutiny.

Some of the biggest risks we’re seeing.

• Vague or emotional notes
• Missing documentation of discussions
• Informal WhatsApp advice not transferred to the record
• Reception or admin staff releasing records without clinical review

And one of the simplest protections? A properly completed consent form. Regulators consistently highlight how decisive these forms are in investigations.

The VDA has updated its Consent Form and Handbook; members can access the latest versions via the website https://vda-southafrica.org/or by emailing
info@vetdefenceco.com

Clinical records are no longer just notes. They’re evidence. And they’re one of the most powerful tools we have to protect ourselves and our patients.
