Charette Consulting received a review that we are proud of. This client started their relationship with Charette Consulting with the intention of smoothing out the medical billing processes. We assisted with creating measures to track the A/R progress. and provided tips and tricks for each insurance company. The best investment that you can make is in yourself.

The inward out approach. This is a mindfulness that taking care of yourself is the top priority. If we are out of balance spiritually, mentally or with our health, we make adjustments by putting ourselves first.

This self-awareness isn't a form of selfishness because in order to best serve and to provide value to others, we must have enough balance within ourselves.

Just a simple mindfulness is all we need to get started. It takes practice just like everything else!

Consider offering quarterly bonuses to your team if KPI goals are met. A common quarterly bonus payout is calculated by 10% of the employee's annual revenue broken down into 4 quarters. As an example, if only 3 of the 4 KPI goals were met then the employees would be eligible for 75% of their maximum goal for the quarter.

Weekly strategies are a powerful way to maximize your clinic's potential. This process allows your clinic to know that you are staying on top of the processes and outcomes within the clinic. This process provides fantastic optics as to why your clinic performed the way it did in the previous week.

Here are some tips on how to execute weekly strategies.

~Run KPI's weekly and send out a weekly e-mail to all clinic staff.
~Identify which KPI goals were met, and which were not.
~Identify what went right with the KPI's that met or exceeded goals.
~Identify what went wrong with KPI goals that were not met.
~Come up with your weekly strategy on how to improve the KPI's that didn't meet goals and also highlight the strategies that were successful so that the clinic knows to continue with that process.

~Have a weekly meeting to reinforce your weekly strategy.

The patient experience is crucial to a successful private practice outpatient Physical Therapy organization. This does go without saying however, having this knowledge is one thing, being mindful and intentional about how your clinic will consistently deliver on this is another. Although there are many reasons as to why the patient experience is an important topic, we are going to focus on how the patient experience can lead to growth in your clinic.

~ Referring MD's - Patients will go back to their referring MD's for follow ups. They will have a conversation with their referring MDO about their experience with your clinic. This experience that our patient is sharing is going to serve as a make-or-break situation with that referring MD and your relationship with them.

~ Patient retention - Patients that have a positive Physical Therapy experience will many times need Physical Therapy again. Earning a high patient retention rate will increase your visits. Over time, patient retention and returning patients can help to create business momentum for your clinic.

~ Word of mouth referrals - This is as a referral source that can be powerful over time. If you are providing a positive patient experience, your patients will provide feedback to their family members and friends which can also result in a powerful referral source.

What are some ways that you can create a blueprint for providing a positive experience for your patients?

~ Front office should be experts at insurance benefits - The front office is going to be the first point of contact for patients. The front office should provide clarity in expectations for patient financial responsibility, authorization requirements, max visits etc.

~ Entire clinic should be attentive to patients - Whether it's front office, techs, PTA's or PT's, we should all be keeping an eye out within the clinic to make sure that the patients haven't been skipped or left without knowing what their next steps are within the clinic.

Physical Therapy clinic success requires streamlined processes which can be earned through collaboration of the clinical team, front office and billing teams. Remember that streamlining processes go hand in hand with growth.

Successful collaboration in your organization requires cross functional collaboration leadership. Leadership within one team requires specific leadership skillsets and leadership amongst multiple teams/departments requires very particular skillsets from the leader of the project.

Here are some requirements of cross functional leadership.

~ Communicating clear goals that all departments are working towards.

~ Understanding that other teams/departments may use our software systems in different ways and for different reasons.

~ Creating an environment of creativity while ensuring that we don't stray from the common goal.

~ Keeping the project organized by documenting the goals for the project, ideas, challenges and progress. A checklist perhaps, that keeps the project organized.

Leadership is difficult! Of course it is. To be an effective leader requires going to the places that most won't. The reward is worth it. Here are some rewards of being a great leader.

~Business advancement
~Fulfillment and satisfaction
~Building strong relationship
~Respect
~Legacy
~Empowerment of others

Here are some tips on how to be an effective leader.

1. Be an influencer rather than a controller. People don't want to be controlled but people will most certainly be influenced.

2. Listen and communicate effectively. When others see that you are a great listener, they will trust you more and also learn from the listening skills that you are displaying. When you are a great listener, you will be able to communicate more effectively with a greater understanding of people and situations.

3. Encourage new ideas! Some leaders will do the opposite and not welcome new ideas. Let's be honest, they may feel threatened and/or they may be controlling. If you encourage new ideas, you will find effective ways of improving processes and you will foster a better culture.

4. Give incentives and recognition. This will show that you care about the extra efforts. It will show that high functioning employees are appreciated and will, in the long term, effect a more favorable turnover rate.

5. Create more leaders! Great leaders create more leaders. If you are building an empire then this is a minimum requirement. If you are satisfied with having one clinic, additional leadership within that clinic will allow you to have a better work/life balance.
